THE
OLD DAM COMMUNITY BAND The Board of the Old Dam Community Band met the house of Dan Schultz on June 21, 2008. The following Board members were present: Carl Becker, Frank Book, Tracy McConnell, Virgil Miller, John Powell, Dan Schultz and Mark Taylor. The following Board members were absent: Roy Dorris, Wayne Fiester, Ted Gore and Carl Zimmerman. The meeting was called to order at 11:02 A.M. The minutes from the May Board meeting were approved as written. Officer and Committee Reports1. President, Dan Schultz, discussed the Newburgh Kiwanis building as an alternative practice facility. After holding a rehearsal there, it was decided that the acoustics were not good in that building. Dan has found some acoustic panels that are 2 foot by 4 foot by 2 inches thick that are $40 each with $10 shipping on the first one and then $4 each for shipping. Dan will purchase one and let the Kiwanis group review them for approval. He believes 10 panels for will be adequate for the community room in the Kiwanis building. The Kiwanis building will be an option for practices when/if the lock and dam building is unavailable for use. 2. President, Dan Schultz, discussed the Newburgh Fourth of July activities. We will play before the fireworks and will have a potluck dinner beforehand. The Band will purchase the meat and drinks. We do not have a key to the building, and electricity and bathrooms will not be available. 3. President, Dan Schultz, discussed the following additional concerts: Newburgh Fourth of July parade on July 5 and Solarbron on July 3. 4. Treasurer, Roy Dorris, submitted a report by email that stated that the balance as of June 19, 2008 is $668.65. There are no bills outstanding. 5. Secretary, Tracy McConnell, passed out the following: April 2008 Board minutes, June 2008 Development Report (4 grants pending), and updated Board of Directors list and terms. 6. The Historian, John Powell, stated that he is completing the second quarter history. 7. Carl Becker stated that he wants to start working on Wizard of Oz. He mentioned looking at the following selections: Guys and Dolls, South Pacific, Sound of Music, and My Fair Lady. He stated that the recent concerts have been good. Old Business 8. The monthly concerts venues were discussed: quarter versus the Kiwanis. The Board decided to decline the first Tuesday concert in July due to the number of concerts that week. The third Tuesday concert in July and August will also be cancelled due to heat. New Business 9. It was suggested that it would be nice to have a potential play list before concerts. This would allow people to practice. 10. It was suggested that every quarter the folders need to be checked for accuracy, and they need to be put back into order. THE OLD DAM COMMUNITY BAND The Board of the Old Dam Community Band met the house of Dan Schultz on May 17, 2008. The following Board members were present: Carl Becker, Frank Book, Wayne Fiester, Ted Gore, Tracy McConnell, Virgil Miller, John Powell, Dan Schultz and Carl Zimmerman. The following Board members were absent: Roy Dorris and Mark Taylor. The meeting was called to order at 9:00 A.M. The minutes from the April Board meeting were approved as written. Officer and Committee Reports1. President, Dan Schultz, stated that the Strawberry Festival concert has been changed to 4:30 to 6:00. 2. President, Dan Schultz, stated that our current practice room is 30 feet by 24 feet, and the Kiwanis community room is 30.67 feet by 23.25 feet. He is not sure how the acoustics would be at the new building. The Kiwanis want us to move our practices there. We will try a few practices there to see how it might work. Since this is a new building, it should have better restrooms, kitchen and air conditioning. 3. President, Dan Schultz, discussed the monthly concerts. We need to decide which venue we prefer. It was discussed that having two (2) concerts a month might be too many. The courtyard is for sale at this moment, so the future of the property is unknown. 4. Vice President, Wayne Fiester, asked Frank Book about the current status of wearables inventory. He does not think any of the new members have purchased any wearables. Wayne will make an announcement to let people know we have stock on hand and how to purchase them. 5. Treasurer, Roy Dorris, submitted a report by email that stated that the balance as of May 12, 2008 is $451.78. 6. Secretary, Tracy McConnell, passed out the following: April 2008 Board minutes, May 2008 Development Report (4 grants pending), and updated Board of Directors biographies. 7. The Historian, John Powell, stated that he is keeping caught up with the history. 8. Property Manager, Frank Book, stated that he needs the serial number for the new copier. 9. Carl Becker stated that he has looked at the music for Wizard of Oz, and he thinks that it is a good song. The song is played in the Owensboro Band. He is also getting some new music. DAM COMMUNITY BAND The Board of the Old Dam Community Band met the house of Dan Schultz on April 19, 2008. The following Board members were present: Carl Becker, Frank Book, Roy Dorris, Wayne Fiester, Tracy McConnell, John Powell, Dan Schultz and Carl Zimmerman. The following Board members were absent: Ted Gore and Virgil Miller. The meeting was called to order at 11:00 A.M. The minutes from the March Board meeting were approved as amended. Officer and Committee Reports1. President, Dan Schultz, stated that he had received an invitation to attend a volunteer appreciation reception at Newburgh Health Care on April 29, 2008 at 10:00 AM. 2. President, Dan Schultz, stated that he had received information on the Blue Lakes Fine Arts Camp (www.bluelake.org) in Michigan. Wayne Fiester and Dan Schultz have been researching different band camps. 3. President, Dan Schultz, stated that there is an open house in the Old Town Hall on Sunday April 20, 2008 from 1:00 to 3:00PM. 4. President, Dan Schultz, discussed an item from the March minutes. It is important to have strong players on the lower parts. The trumpets sounded very good in the last concert, because all parts were being played strongly. 5. Vice President, Wayne Fiester, stated that he is working on the band members’ pictures on the website. The new format of the website is working good. It is easier to navigate on the website. 6. Vice President, Wayne Fiester, stated that we typically have a summer concert in August at the Evansville Central Library. The library only wanted the Little Old Dam Band for a summer concert. We are now playing our summer concert at McCollough Library in Evansville. 7. Treasurer, Roy Dorris, submitted a report for 2008 to date and a first quarter 2008 report. The balance as of April 19, 2008 is $1,138.50. 8. Secretary, Tracy McConnell, passed out the following: February and March 2008 Board minutes, April 2008 Development Report (3 grants pending), an explanation of the guidelines for requesting a restricted grant and current concert schedules of the Old Dam Community Band and the Little Old Dam Band. 9. The historian, John Powell, stated that he is caught up on the first quarter 2008 history. 10. Property Manager, Frank Book, stated that he needs to verify the new locations of inventory. He will need help in doing this. 11. Carl Becker discussed whether we will be able to vary the concert programs enough for each concert, since we will have some of the same audience members. Old Business 12. The Third Tuesday concert on April 15, 2008 went well. It was decided that commentary should be added to these concerts. The crowds should increase over time. There seemed to be a problem at the concert with people finding their music in the folder. Let Dan Schultz know if any parts are missing from folders prior to concerts. A Third Tuesday concert will be added in July. We will make the donation jar more prominent at the next concert. The lighting will be adjusted at the next concert. It was a good venue, and the length of the concert was good. Reminders for the audience to bring chairs will be placed in the concert advertisements. 13. The Board Member vacancy was discussed. Mark Taylor was appointed to the Board to fill Gene Van Stone’s position. New Business 14. The Band will have a First Tuesday concert at the Kiwanis shelter on May 6, 2008. This will probably be an open house for them. They are having the boy scouts clear the land of any remaining construction debris before the concert. 15. The Board discussed looking in our library and looking for new Broadway music, since it is a crowd favorite. 16. THE OLD DAM
COMMUNITY BAND The Board of the Old Dam Community Band met the house of Dan Schultz on March 15, 2008. The following Board members were present: Carl Becker, Frank Book, Roy Dorris, Wayne Fiester, Ted Gore, Tracy McConnell, Virgil Miller, John Powell, Dan Schultz and Carl Zimmerman. Blake Larson from the Newburgh Historic Kiwanis was also present. The meeting was called to order at 11:05 A.M. The minutes from the February Board meeting were approved as amended. Officer and Committee Reports1. President, Dan Schultz, stated that he had discussed the Lincoln Park concert with Jon Patton. Jon will coordinate all aspects of this concert, and members of the Old Dam Community Band will join the concert. It was noted that Carl Becker will be out of town that weekend. 2. President, Dan Schultz, stated that the Third Tuesday concerts will begin in April. Blake Larson, from the Historic Newburgh Kiwanis, was present at the meeting. His organization will be providing the food and beverages for these concerts. He stated that the menu was not finalized yet, but they are thinking about chili and grilled hot dogs and perhaps ice cream when it gets warmer. It was suggested that they consider gourmet hot dogs or “Chicago-style.” Dan Schultz ordered two (2) banners ($75 each) for the concerts that state “Food, music and fun, Tuesday 7:00.” 3. President, Dan Schultz, mentioned that the Board has a vacancy to fill to finish Gene Van Stone’s term. The vacancy will be filled with an appointment of a new Board member. This discussion was tabled until the next meeting to allow time for additional nominations. 4. President, Dan Schultz, received the new digital copier on March 14, 2008. The new maintenance contract will now cover the cost of purchasing toner. In ninety (90) days, Royal Office Products will look at the copier count, and the Band will get its new maintenance contract which may be cheaper than originally stated. Currently, our office is in the kitchen area of the Newburgh Kiwanis Club’s new building. Dan is in the process of moving the music to the garage area. We will leave our copiers in the kitchen area. The music is in cardboard boxes right now, but Dan thinks that they should be put into filing cabinets. Dan got quotes from Royal Office Products ($313 each) and Consolidated Equipment ($70) for four-drawer filing cabinets. A motion to buy three (3) four-drawer file cabinets from Consolidated Equipment was made and approved. 5. President, Dan Schultz, stated that he has implemented the envelope system for buying wearables and supplies from the Band. The system is working good. 6. President, Dan Schultz, will send both Kiwanis groups in Newburgh our insurance certificate. They wanted to know if our belongings were insured. The trailer is insured, but not the music or instruments and other items on the trailer. It was decided that the Band needed insurance to cover it in case of a loss to keep the Band going in the short term. A motion was made and approved to purchase $10,000 of insurance with a $500 deductible if the premium is about $150 per year. It was discussed that the Band should also digitize its library as an added protection. 7. Vice President, Wayne Fiester, questioned whether there was going to be a Newburgh Easter parade. Dan Schultz will check on it. 8. Vice President, Wayne Fiester, stated that the work is on-going in updating the website. He has had some problems along the way. He has added maps to the Kiwanis building. 9. Treasurer, Roy Dorris, submitted a report for 2008 to date. The balance as of March 9, 2008 is $1,858.99. 10. Secretary, Tracy McConnell, passed out the following: January and February 2008 Board minutes, 2008 Board of Director’s list, 2008 Board of Director biographies, and updated accomplishments. 11. Secretary, Tracy McConnell, will send a letter to the foundations that donated money to the Band last year to tell them about our upcoming Third Tuesday concerts. It was suggested that the Band could possibly ask for grants for advertisements for our concerts. 12. The historian, John Powell, will send Tracy McConnell updated pictures of the Old Dam Community Band and the Little Old Dam Band to update our literature. Tracy will then send the updated brochure and thank-you card to Dan Schultz and Wayne Fiester. 13. Property Manager, Frank Book, stated that we have one (1) stand and six (6) stand lights for sale. 14. Carl Becker discussed the strategy for the Third Tuesday concerts. He would like to have the programs selected by the first of each month so we can use the rest of the month to get ready for the concert. Carl will be out of town the week of Memorial Day. It was discussed that printed programs will be made for the Lakeside Manor concert, but not for the outside concerts. There will also not be commentary for those outside concerts. Carl stated that the last two (2) rehearsals were great. Old Business 15. A discussion was held about band member donations. It was noted that Carl Zimmerman is doing a good job of reminding everyone about the donation jar. It was decided that as long as the Band can pay for everything it needs, we do not need to implement a dues system. If the donations ever decline, this topic can be discussed again. It was mentioned that the Band could always take up special collections if there was a specific purchase that was unanticipated or not in the budget. It was decided that a container would be set up for donations at the concerts. 16. Treasurer, Roy Dorris, presented his proposed 2008 budget. He will make an adjustment for the new insurance policy. Other minor edits were discussed. A motion was made and approved to approve the 2008 budget as amended. New Business 17. A discussion was held about pets at Band functions. The following position on pets was approved by the Board: no animals, except service animals, are to be present at any indoor rehearsal or indoor concert. 18. President, Dan Schultz, discussed the Newburgh Kiwanis Club. He asked if anyone was interested in joining the organization. The dues are $100 per year and $5 per meal. This group provides support for the boy scouts and Alcoholics Anonymous. Dan has received only one (1) suggestion on how the Band can get involved with the Kiwanis. The following were suggestions that were presented: make a donation to the Kiwanis for using their building, hold a fundraising concert, or subsidize memberships to the group. The Board will think of other ways to get involved with them. 19. A discussion was held about the Band’s logo. A question was posed as to whether the Band should restrict where the logo can be printed. Other organization protect the use of their logos. A motion was made and passed that stated the following: any use of the logo should be approved by the Band from this point forward. 20. A discussion was held about new members in a section and what part they should play. Carl Becker stated that there should always be more people playing the lower parts. Each section will decide for itself who should be playing which part. The people that play first part, however, should be there most of the time. The meeting was adjourned at 1:20 P.M. The Board of the Old Dam Community Band met at the house of Dan Schultz on February 16, 2008. The following Board members were present: Carl Becker, Frank Book, Roy, Dorris, Wayne Fiester, Ted Gore, Tracy McConnell, Dan Schultz and Carl Zimmerman. The following Board members were absent: Virgil Miller and John Powell. The meeting was called to order at 11:05 A.M. The minutes from the January Board meeting were approved as amended. Officer and Committee Reports1. President, Dan Schultz, got a quote from Royal Office Products, Inc. for a refurbished copier, because Royal will not provide service on our current copier due to its age. The copier will be $795 with an annual contract of $305 which includes 18,000 copies with additional copies for $0.016. The cost for the annual contract is the same as our current one. If we keep our current copier to use for copies over our annual contract, we will save approximately $200 per year. A motion was made and approved to purchase the refurbished copier with an annual agreement. 2. Vice President, Wayne Fiester, stated that he is thinking about redesigning the website. He will not remove information from the website, just improve the navigation on it. The website will be accessible while he is working on the redesign. It was suggested that we keep the schedules readily accessible. 3. Vice President, Wayne Fiester, made a decision in the president’s absence to cancel the practice on February 12 due to the weather. This was the first time that practice was cancelled in eight (8) years. 4. Treasurer, Roy Dorris, submitted the following reports by email: a financial summary of 2007, checks and deposits in 2007, proposed budget for 2008, itemized categories for 2007 and 4th quarter 2007, and a register report for 2007 and 4th quarter 2007 (by category and date). 5. A discussion was held about using an envelope system for purchasing items from the band such as wearables, stands, etc. This will allow us to separate the general donations to the Band. The envelopes can be put into the same container as the general donations. Dan Schultz will look into getting some envelopes. 6. Secretary, Tracy McConnell, passed out the following: January 2008 Board minutes, 2008 Board of Directors’ Terms, 2008 Scheduled Board Directors’ Meetings, Old Dam Community Band Accomplishments, Concert Totals, Concert Survey Results from December 11 and 15, 2007 and Summary of Concert Survey Results – Christmas Concerts. It was suggested that we might want to start looking for new Christmas music now to give us more time to select new music. 7. Wayne Fiester stated that John Powell has submitted the fourth quarter 2007 history with pictures, and it has been added to the website. 8. Carl Zimmerman stated that his system for requesting donations is working good. 9. Wayne Fiester asked Carl Becker to start working on his concert lists for the Spring concerts so he can start working on the commentary. Tracy McConnell will send Carl Becker the lists of songs played in past concerts. 10. Wayne Fiester stated that Joseph Choi has requested that the Band play at Eastminster in late May. 11. Dan Schultz asked the Board whether they thought we should do the combined Memorial Day concert again. Everyone agreed that we should do the concert again. It was suggested that the combined Christmas concert should maybe be played in a different venue or city this year. 12. Ted Gore stated that the Little Old Dam Band had a successful concert for Youth First and received a $200 donation. It was also mentioned that the crowd at the Really Big Show enjoyed the Little Old Dam Band’s concert in the lobby. Old Business 13. President, Dan Schultz, discussed the Third Tuesday concerts. He has been speaking to the two (2) Kiwanis clubs in Newburgh about providing food. Both groups are interested. The new Kiwanis building has a shelter, park area, concession stands and restrooms. This group of Kiwanis would like the Band to perform a couple of concerts at their shelter for family picnics. It was discussed whether the Third Tuesday concerts should be held at this new location. New Business 14. Dan Schultz mentioned that he personally purchased the recording equipment and is donating his services. 15. Roy Dorris is working on the 2008 budget. Everyone will review the budget and financial reports and send any comments to Roy. 16. The Newburgh 4th of July celebration was discussed. Dan Schultz will be going to the fireworks meeting. We will still have our picnic at the house and will play down one (1) level so more people will hear the Band. We will rope off the area, so it will be available for us when we are done with the picnic. Dan Schultz mentioned that the water was turned off at the house due to a water leak from a frozen pipeline. The Town of Newburgh is waiting for a grant to repair the house. Dan Schultz will be going to the Parks Department meeting about the house. We will see if a group of volunteers can fix the plumbing. 17.

January 19, 2008 The Board of the Old Dam Community Band met the house of Dan Schultz on January 19, 2008. The following Board members were present: Carl Becker, Frank Book, Roy, Dorris, Wayne Fiester, Ted Gore, Tracy McConnell, Virgil Miller, John Powell, Dan Schultz and Carl Zimmerman. The meeting was called to order at 11:00 A.M. The minutes from the December Board meeting were approved as written. Officer and Committee Reports1. President, Dan Schultz, stated that he attended a Newburgh volunteer recognition dinner at the renovated town hall building. He said that the acoustics were terrible in there. He is not sure if we want to hold practices or concerts there. 2. President, Dan Schultz, stated that the following new concert dates have been added to our calendar: (LODB) February 9 – The Really Big Show, February 23 – Willow Park and (ODCB) June 19 – Lakeside Manor. The National Night Out needs our building on Tuesday, August 5. We will schedule a concert at the Evansville Library for that date. 3. President, Dan Schultz, asked how the process of making concert cds were going. We are making them as they are requested. 4. Vice President, Wayne Fiester, stated that the website is updated for all concerts that have been confirmed. He has also included on the concert schedule the Third Tuesday concerts for April and May. 5. Treasurer, Roy Dorris, submitted the following reports: the 2007 audit statement (prepared by Ted Gore and Dave Emery), a financial summary of 2007, and a January 2008 summary. The current balance as of January 19, 2008 is $1,509.46. He is still working on the details of the 2007 summary and 2008 budget. Roy will try and get a proposed 2008 budget for the Board to look at the next meeting. 6. Secretary, Tracy McConnell, passed out the December 2007 Board minutes. 7. Secretary, Tracy McConnell, will work on updating the Board Member’s Handbook and compiling a list of grant prospects for 20008. 8. Historian, John Powell, will integrate the pictures he received from Wayne Fiester into the fourth quarter 2007 history. Old Business 9. A discussion was held about hosting a band festival. It was decided that we would remove this item from the agenda until we get a better venue and a history of people attending regular concerts. 10. President, Dan Schultz, discussed the Band performing at Third Tuesday concerts during our normal practice time. The concerts will be held in the walled area just east of the stop sign at State Street and 662. That area will be protected from the sun, and it is currently not being utilized. The property is privately owned, and the Band has been given permission to hold the concerts there. Dan wants to get a non-profit group to commit to being at all of the concerts and providing food as a fundraiser for their organization. The Board Members will let Dan know of any groups that might be interested in doing this. It might take awhile to get a regular crowd for these concerts. Dan will work on a banner that can be put up at the stop sign intersection each month. It was suggested that we invite one of the senior homes to bring people over for the concerts. New Business 11. A discussion was held about 2008 grant requests. Dan Schultz will get quotes on the copier, and Tracy McConnell will see whether the Band can request a grant for that purchase. 12. President, Dan Schultz, asked the Board whether they thought the Band should set up a Memorial Scholarship fund. It was decided that it might be a good idea in the future, but the Band will have to raise the money for it. One suggestion was to host a fundraiser walk along the riverfront. 13. President, Dan Schultz, has stopped putting everyone’s email addresses in the group emails that he sends out. This will protect people’s privacy. The Board discussed whether we need a printed list of Band members for insurance purposes. 14. A discussion was held about Band member donations and membership dues. It was suggested that we could ask the Band to donate for special collections for purchases that are perhaps unplanned or outside of the budget. 15. The Band will be celebrating its eighth year of operation and second official birthday this year. The Band was founded on February 29, and will celebrate its birthday at practice on Tuesday, February 26. The meeting was adjourned at 12:20 P.M.
THE OLD DAM COMMUNITY BAND The Board of the Old Dam Community Band met at the home of Dan Schultz on December 15, 2007. The following board members were present: Carl Becker, Frank Book, John Powell, Dan Schultz, Carl Zimmerman and Wayne Fiester. Board member elect Roy Dorris was also present. Ted Gore and Tracy McConnell were absent, and Gene Van Stone has submitted his resignation. The Meeting was called to order at 11:15 AM. The minutes from the November meeting were approved. as written. Officer and committee reports 1. President, Dan Schultz, presented Gene Van Stone’s letter of resignation which was accepted by the Board. 2. Dan announced that the recently purchased recorder works fine. The total cost of the recorder will be $365. The Christmas concert by the Community Band was recorded. and CD’s will be made available for band members . Roy Dorris will make copies for saxophones, trumpets and horns. Wayne Fiester will make copies for the players of low brass and percussion instruments. Frank Book will offer copies to players of woodwinds except for saxophones. 3. The final financial report submitted by Gene Van Stone stated that the balance as of December 15 is $1,609.22. 4. Webmaster Wayne Fiester announced that pictures of most of the current members of the concert band have been taken. Birth dates of some new members of the band are needed. 5. Carl Zimmerman will promote the plan for weekly contributions to be made by band members to support the band’s financial needs. 6. The following Board members were present: Carl Becker, Frank Book, Wayne Fiester, Tracy McConnell, John Powell, Dan Schultz and Carl Zimmerman. The following Board members were absent: Ted Gore and Gene Van Stone. Board Member Elect, Roy Dorris, was also present. The meeting was called to order at 11:00 A.M. The minutes from the October Board meeting were approved as written. Minutes from the Annual Meeting were approved as amended. Officer and Committee Reports1. President, Dan Schultz, stated that the overhaul on the Christmas folders was completed. The music for the small groups has not come in yet. 2. Vice President, Wayne Fiester, discussed the December concert schedule. Santa Land will not be held on December 22 and 23. The Old Dam Community Band will now play for Santa Land on December 1 from 3:00 to 6:00. The small groups will play at some point during that time period. The Little Old Dam Band will still play for Santa Land on December 8. The street corner caroling will start at 1:00 on December 1. 3. Gene Van Stone, the treasurer, submitted a report that stated that our current balance as of November 15 was $1,780.07. 4. Secretary, Tracy McConnell, passed out the following: October 2007 Board minutes, Annual Meeting minutes, contributor’s list, and the current concert schedule. 5. Secretary, Tracy McConnell requested that someone gather information (crowd count, concert survey, play list and pictures) at the following upcoming concerts: Evansville Central Library Concert (December 11), Newburgh Central Library Concert (December 18) and Combined Community Band Concert (December 15). Carl Zimmermann will collect the information. Mike Decker will be asked to take pictures of all concerts. John Powell, the historian, archives all of the photographs. 6. Historian, John Powell, reminded everyone to forward him relevant information for the history. Old Business 7. A discussion was held about band member donations. The band member donations are about a third of what has been donated in the past. Some people may need to see our expense reports to see how the money is spent. Some people may think that we do not need donations due to all of the grants that were awarded to the Band early in the year. Carl Zimmerman volunteered to make announcements at Band practices about the donation box. A discussion was also held about whether a donation box should be placed at concerts. It was decided that we should put some sort of donation box at our public concerts. Dan Schultz will see if he can make a unique donation box out of an old instrument. New Business 8. An election was held for the officer positions. Ted Gore voted by proxy. All elections were unanimous. The 2008 officers are the following: president – Dan Schultz, vice president – Wayne Fiester, treasurer – Roy Dorris, and secretary – Tracy McConnell. 9. A discussion was held about 2008 grant proposals. The Board wants to ask mainly for general operating expenses. These grants are hard to get, and there are not a lot of funders who will donate for general operating expenses. It was suggested that maybe we should write a grant request for another tympani or a set of chimes. 10. President, Dan Schultz, will begin overhauling the regular music folders. The Old Dam Community Band met for the Annual Meeting at the Old Dam Building on November 5, 2007. The meeting was called to order at 1:33 P.M. 1. A motion was made to increase the number of elected Board Members from eight to ten. The motion passed, and the by-laws will be amended accordingly. 2. Incumbent board members, Dan Schultz, Wayne Fiester, and Frank Book, were re-elected to new three-year terms. Roy Dorris and Virgil Miller were elected to fill the two new seats and will also serve three-year terms. 3. February 2008 is the anticipated completion date of the construction of the new Town Hall. We are considering doing monthly concerts there once the building is completed. We are not sure if it will be practical to hold practices there. 4. The Town of Newburgh is still working on the idea of an arts pavilion. Later in November, the town will find out if it was awarded the planning grant. Part of the planning grant will be utilized to design the arts pavilion. 5. A discussion was held about possible new venues for practices. The Kiwanis are completing the construction of a new building and will allow the Band to practice there. The downstairs of the Old Town Hall is available. If we use schools to practice, we would have the extra cost of paying a janitor to unlock the door. It was suggested that maybe we find an alternative practice venue during the hottest months. The Lock and Dam Building will be renovated soon which will also include the heating/air conditioning system. 6. The Band will celebrate its seven year anniversary in February 2008. 7. Vice President, Wayne Fiester, noted that the Band has a lot of concerts coming up. He has updated the website to include those concerts. 8. Vice President, Wayne Fiester, stated that he manages the Band’s website. Let him know if you want to see something on the website or if something is incorrect. He is working on updating the Band Member’s page. 9. It was mentioned that the Band has received several grants this year. A discussion was held about the donation box. It was suggested that a $1 donation be submitted by Band members each week they attend practice. It was also suggested that students would be exempt from donating. One person suggested that a donation bucket be placed at concerts. The issue of Band member donations will be discussed at the next Board meeting. 10. The Christmas music for small group is in. The house on the hill can be used for practices for small groups. THE OLD DAM COMMUNITY BAND The board of directors of the Old Dam Community Band met at Dan Schultz’s house on October 20, 2007. The following board members were present: Frank Book, Ted Gore, Dan Schultz, Carl Zimmerman, John Powell, Carl Becker and Wayne Fiester. The following board members were absent: Tracy McConnell and Gene Van Stone. The meeting was called to order at 9 AM. The minutes from the September meeting were approved as written. Officer and Committee Reports 1. Dan Schultz reported that he is still investigating the available recording equipment. He plans to purchase a recorder by the Christmas concerts. 2. The funds that were allocated for Christmas music have been spent. 3. The old Newburgh Town Hall building dedication has been delayed. The search is still on for an alternative rehearsal site for the concert band. Dan pointed out that the town hall site will rent to others for $300 per day. If someone else rented the space for a Tuesday night, it would not be available for the band. The Kiwanis Hall may be an option when the Lock and Dam Building remodeling get started. 4. Wayne Fiester announced that the Santa Land venue is being managed by Jim Sermersheim. The available dates for performances will be December 8, 9, 15, 16, 22 and 23 between 3 and 6 PM. After some discussion, it was decided that the concert band will offer to play for two hours on Dec.15. Smaller combos will play for one hour on that date. The Little Old Dam Band will offer to play for three hours on December 8 and December 23. 5. The Concert band will present Christmas concerts at the Central Library in Evansville on Dec. 11 and at the Ohio Township Library in Newburgh on Dec. 18. A Christmas concert by the combination of bands from Newburgh, Rockport and Owensboro will be presented on Dec. 15 at the Lincoln Mall in Owensboro. 6. The treasurer has reported that, as of September 30, the balance was $2,930.98. However, the actual balance was $2,871.04 since check # 1167 had not been cashed as of 9/30/07. Old Business 7.Dan Schultz announced that the maintenance contract for the copier is not renewable. Therefore, the copier will continue to be used until the lack of parts makes it unusable. 8. Discussion about member donations was conducted. Wayne volunteered to encourage players to voluntarily support the band. 9. The band’s annual meeting will be held on November 4 at the Lock and Dam Building. The doors will open at 1230 for eating at 1 PM followed by a business meeting and a short concert. New Business 10. The board approved Carl Becker to be the concert band’s director. He accepted but suggested that a search continue for a permanent director. 11. Mike Decker is taking new photographs for the Band Members page of the website. He will take more than one (1) picture of everyone and let them choose which picture they want on the website. He is also getting a list of birthdays for inclusion on the website calendar. 3. Vice President, Wayne Fiester, stated that the new system for ordering wearables is working good. Right now it is taking about two (2) to three (3) weeks to get orders in. We have not made any orders to replenish stock. We will order some items for stock when the next order goes in. 4. Vice President, Wayne Fiester, discussed his clarinet marketing campaign. He submitted a letter to the editor of the Evansville Courier and Press. We have received numerous calls on the subject and will get at least one (1) new clarinet player. 5. We are running low on some stock items. Frank will give an updated inventory to Wayne, so we can decide what to order. Frank knows that we are definitely getting low on hats. A discussion was held about the different styles of hats the Band has used in the past. Dan Schultz can get the white hats for about $2 each, and Queensboro can put the logo on for about $5. We are unsure whether the white hats could be sewn due to its shape. 8. Ted Gore discussed his schedule. He will have to get a substitute drummer for the Little Old Dam Band concert at St. Lucas Church on September 19, 2007 and the Old Dam Community Band concert for the Posey County Fun Days on October 6, 2007. Frank Book will be in Florida the end of October. Old Business 9. A discussion was held about new music purchases with grant money. Four (4) regular songs and one (1) Christmas song have been ordered. 10. The current music folder list was discussed. A list of songs to be removed from the current folder was prepared. Dan Schultz will put the new songs in and remove songs as he works on each folder. New Business 11. A discussion was held about the possibility of hosting a music festival in 2008. We would ask for grant money to fund this program. Topics that were discussed included hiring a headliner group and paying for advertisement. 12. The music director job description was discussed. It was decided that the job description is not finalized and will need to be revised in the future. 13. A discussion was held about recording equipment. The Band has some recording equipment now, but it is difficult to use and will be obsolete soon. It does not have the capability to record an entire concert. We would like to be able to record all our concerts. We would then make the master cds available for Band members to make copies for their use. We would also archive our concerts. The minutes from the June Board meeting were approved as written. Officer and Committee Reports1. President, Dan Schultz, requested that the Board Members look over the list of songs currently in the folders. Some songs will be removed from the folders to make room for new ones. Make a list of things that should be removed and give it to Dan at the next rehearsal. 2. President, Dan Schultz, stated that he is getting ready to purge the email lists of people that no longer come to Band. The Board will look at the lists and give any suggestions for people to remove to Dan. 3. President, Dan Schultz, shared an article from the Community-Music web group. The article discussed “what to do with band members that are past their prime.” The Board agrees with the position in the letter that in recreational music groups such as ours, all players are welcome regardless of playing ability and age. 4. Vice President, Wayne Fiester, discussed the Band Members page of the website. The discussion centered around what type of pictures to put on the page for new members so that they would match the others. It was decided that candid pictures will be put on the page for all Band members, instead of the formal pictures currently on the page. 5. The treasurer’s second quarter 2007 report, submitted by Gene Van Stone, was distributed in his absence. 6. Secretary, Tracy McConnell, passed out the following: June 2007 Board minutes, July Development Report (6 grants awarded and 5 grants pending), the current concert schedule and the grant budget for music. 7. Property Manager, Frank Book, discussed the wearables. The Band has not ordered any extra items recently. With the new ordering system, Wayne Fiester will email members when their order comes in and will request that they bring the money to the next practice. This email will also be copied to Gene Van Stone so he can keep track of the orders that are due to be paid. Old Business 8. Advertisements for the next concert at the Evansville Central Library on August 7, 2007 have begun. 9. A discussion was held about new music purchases with grant money. The Big Bass Drum and the Christmas Books have been received. One (1) set of the Christmas books will be archived in case parts are lost. West Side Story has been ordered. 10. A discussion was held about stands and lights. Frank Book tried the new stand, and he likes it. A few people have struggled with the assembly of the stand. The Band will not require that people buy a certain brand and model of stand or light. People will be encouraged, however, to purchase a light. A motion was made and approved to purchase ten (10) stands and ten (10) lights. These stands and lights will be for people to use and for people to buy. 11. A discussion was held about the Town Hall building that is being renovated. On July 28, 2007 from 1:00 P.M. to 4:00 P.M., a hard hat tour will be conducted at the Town Hall building. The Little Old Dam Band will be playing for this event. They are estimating that it will be open for use in September. We will be able to have our Christmas concert there, and we will use it for Tuesday night practices. There will not be storage available for anyone there. It will be a possibility in the future to have monthly Tuesday night public concerts there. 12. A update on the Parks Board Master Plan was given by President, Dan Schultz. The plan is updated every five (5) years. The arts pavilion is still on that plan. 13. Tracy McConnell will email Wayne Fiester a list of the grants received this year for inclusion on the Sponsor page of the website. New Business 14. A discussion was held on the use of the official logo and organization name. Any changes to the official name must be approved by the Board since all of our paperwork has the current name. It was suggested that we use a hyphen between ‘Old’ and ‘Dam’ for clarification purposes; however, this would not be an official change. The versions of the logo are all different on the letterhead, wearables and website. The letterhead is the official version of the logo. 15. A discussion was held about the recruitment of clarinet players. We will concentrate our efforts on one section of the Band at a time. Different recruitment strategies were discussed. Frank Book and Ted Gore will work on recruitment ideas. 16. It was mentioned that we need to watch where our cases are stored due to lack of space.

The minutes from the May Board meeting were approved as written. Officer and Committee Reports1. President, Dan Schultz, stated that the concert on June 21, 2007 at Lakeside Manor was excellent. We received a $500 donation. 2. Vice President, Wayne Fiester, stated that the website has been updated. He will download it tonight. He has added the second quarter history but needs some of the minutes. He appreciates the emails that he gets when things do not work on the website or are listed incorrectly. 3. Vice President, Wayne Fiester, presented his new uniform order form. He will place orders in batches every time he has enough items for an order. He rounded the prices of all items to the nearest dollar on the order form. The band will pay the shipping. He will not change the prices when there is a sale. 4. Secretary, Tracy McConnell, passed out the following: May 2007 Board minutes, June Development Report (5 grants awarded and 6 grants pending), the current concert schedule and the Binmore scale article. Tracy collected statistics from the Board Members for inclusion in a survey for Toyota. 5. Historian, John Powell, stated that he has the history up to date. A discussion was held about whether we should take the list of songs played at concerts, as well as our library list, off of the website. Everyone agreed that they should be removed form the website. 6. Carl Becker stated that the Band is continuing to make progress in its playing abilities. Old Business 7. The concert schedule for the Fourth of July week was discussed. The start time for the Solarbron concert and for the Band picnic were corrected. 8. A discussion was held about the purchase of new music with the awarded grants. It was suggested that only grant money should be used for music purchases and concert donations could be used for general operating support. The following are the awarded grant amounts for music that need to be spent by the dates listed: George L. Mesker Music Trust - $500 for Christmas music by December 11, 2007 (Evansville Library Concert), Toyota Motor Manufacturing, Indiana, Inc. - $300 for regular music by August 7, 2007 and September 18, 2007 (Evansville and Newburgh Library Concerts), and the Warrick County Community Foundation - $34.03 for regular music and $300 for Christmas music by November 30, 2007. 9. A discussion was held on the continuing conductor search. We are still looking for people to relieve Carl Becker. New Business 10. A discussion was held about music stands and lights. It was suggested that the band should use uniform black music stands that are sturdy in construction. Patton Music has a Peak stand that they will sell for $20-$22. A discussion was held as to whether the Band should reimburse people up to $20 for the purchase of music stands or whether the Band should provide each member with a music stand. We will buy a couple styles of stands and bring them to the next Board meeting and continue with the discussion. 11. A discussion was held about the Binmore Scale article. The article had several good points in it about the selection of music for community concerts. 12. We received information on the Westside Nut Club parade on October 6, 2007 at 6:30 P.M. The Little Old Dam Band has a concert earlier that day, but it should not conflict with the parade. 13. A discussion was held about keeping rehearsals and concerts enjoyable. Some of the Board members have received emails on this matter. It was suggested that maybe a portion of each practice could be reserved for playing requested songs without rehearsing them. It was stated that we need to remember that this is a recreational band. 14. It was suggested that it might be time to thin the music folders. The minutes from the April Board meeting were approved as written. Officer and Committee Reports1. Vice President, Wayne Fiester has an invoice for the website changes for $115. President, Dan Schultz has an invoice for insurance for $6, as well as the insurance declarations. 2. Vice President, Wayne Fiester, discussed the need to order uniforms. Several options to simplify the ordering and delivery procedures were discussed, such as using better paperwork tracking system, or using a local shop that band members can go to direct and purchase their uniforms. 3. Secretary, Tracy McConnell, passed out the following: April 2007 Board minutes, April Development Report (3 grants awarded and 5 grants pending), a concert survey and the current concert schedule. The survey would be passed out to audience members during the Fall and Christmas concerts at the Newburgh Library. This is a requirement of the Warrick County Community Foundation Grant. Old Business 4. President, Dan Schultz, discussed the mass band concert. The rehearsal will be at 2:00 on Sunday, May 20, 2007, and dinner will be at 2:30 or 3:00. Chicken for 75 people was ordered. At the practice, we will refine the performance order. The band directors will do their own commentary. Advertisements for the concert have begun to appear in the local newspapers and radio. 5. President, Dan Schultz, discussed the Eastminster concert. Joe Choi will be at practice on Tuesday, May 22, 2007 to prepare for the concert and to determine the performance schedule. 6. President, Dan Schultz, is working on the program for the Rose Hill concert. Tracy McConnell will email him the list of songs from last years Memorial Day concerts for reference. At band practice, the band will work on starting and playing without a conductor. 7. Secretary, Tracy McConnell, requested that receipts are given to her when new music is purchased by the Warrick County Community Foundation grant money. 8. A discussion was held about the Spring Concert 2 at the Newburgh Library. The concert did not go well. The band director and band were not comfortable with the concert play list. Dan Schultz will work on play lists for the upcoming concerts. New Business 9. A discussion was held about future concerts. It was suggested that some variety needs to be added to the concerts. Several suggestions were presented, such as having the audience participate by directing or playing the bass drum, having sections stand while playing for recognition, and a brass quartet group (or any other small ensemble) playing a song or two. Officer and Committee Reports1. President, Dan Schultz, discussed the Newburgh Wine Festival. The Little Old Dam Band has been asked to play at the festival in the afternoon on Saturday, May 19. They would also like to use the Band’s canopy for the other musical groups. The Board discussed whether a fee should be charged for use of the tent. The musical groups playing for the festival are not being paid. It was decided that the Band will ask for a fee of $100 for the use of the tent at the festival. Dan mentioned that he would like to have a “canopy team” from Band members that would know how to assemble and disassemble the canopy. 2. President, Dan Schultz, discussed the music folders. He has a new song, Sounds of Sonny and Cher, to put in the folders. He has located the song The Gentle Ballad, but has not received it yet. He is still looking for Highlights of Camelot. The Band has purchased A Symphony of Sitcoms Band Arrangements. Carl is looking for more music to buy with our grant money. He has about $100 remaining for music. 3. President, Dan Schultz, discussed the mass band concert. The concert is on the schedule. There is going to be a group rehearsal on Sunday, May 20, 2007 at 2:00 at the Methodist Church in Rockport. A discussion was held as to whether a carry-in dinner should occur before or after the practice. Everyone preferred the meal to be after the practice. Dan will discuss these details with the other bands involved in the concert. 4. Vice President, Wayne Fiester, stated that the website is back on-line. He has switched the server to iPower. The new server will cost $95/year versus the old one at $152/year. Wayne uses this server for his other websites. 5. Vice President, Wayne Fiester, discussed the commentary that he did before the songs at the first Spring Concert. Everyone agreed that the commentary worked. Wayne is already working on the commentary for the next concert. He did a lot of research for the last concert. 6. There was no treasure’s report. Dan Schultz has given Gene Van Stone a $500 bill for insurance. 7. Secretary, Tracy McConnell, passed out the following: March 2007 Board minutes, April Development Report (2 grants awarded and 2 grants pending), the first quarter financial report and the current concert schedule. Tracy inquired about the progress of printing new business cards. Dan Schultz will work on that. 8. Historian, John Powell, discussed the history on the website. Wyane was not able to open the files that John sent him. John will email the missing history files to Wayne for inclusion on the website. 9. Property Manager, Frank Book, mentioned that he needs to do inventory again. Frank stated that his Band uniform shirts are fading somewhat. It was discussed whether it was time for a wearables order. 10. Carl Becker mentioned that there were a couple of problems at the Spring concert that he will work on before the next concert. Old Business 11. President, Dan Schultz, stated that the Band does not have a conductor yet for the Rose Hill concert. Jon Patton will be conducting the Strawberry Festival concert. Dan will ask either Jon Patton or Jim Fox to direct the Rose Hill concert. New Business 12. Ted Gore mentioned that he will be out of town from May 7 through 13, 2007. COMMUNITY BAND The Board of the Old Dam Community Band met at Dan Schultz’s house on March 17, 2007. The following Board members were present: Frank Book, Wayne Fiester, Ted Gore, Tracy McConnell and Dan Schultz. Carl Becker was also present. The following Board members were absent: John Powell, Gene Van Stone and Carl Zimmerman. The meeting was called to order at 11:15 A.M. The minutes from the February Board meeting were approved as written. Officer and Committee Reports1. President, Dan Schultz, gave an update from Town of Newburgh meetings. Cynthia Berger, Town Manager of Newburgh, announced that the contracts for the remodeling of the Town Hall are complete. The city can now work on getting a grant for an arts pavilion and downtown renovations along the waterfront. The grant that the city is seeking is for a planning grant for the entire area (not just for the arts pavilion). 2. President, Dan Schultz, stated that he and Tracy McConnell attended th |
