OLD DAM COMMUNITY BAND
BOARD OF DIRECTORS MEETING
October 15, 2011

The Old Dam Community Band Board of Directors met at the home of Dan Schultz on October 15, 2011.  The following board members were present:  Dan Schultz, Wayne Fiester, Fred Hormuth, Frank Book and Marcia Wines.  The meeting was called to order at 11:36 am by board president Dan Schultz.
The minutes from the September 2011 meeting were not presented.

President’s report:   No report. 

Vice President’s report:  No report

Treasurer’s/Property Manager’s report:  Fred reported there is a balance of $932.88 currently in the bank account with approximately $250.00 in upcoming expenses.  There is no E-scrip money to report.  The October installment of insurance has been paid.  The band has purchased $200 in small percussion equipment.

Secretary’s report:  Marcia cannot be present for the annual meeting November 6, 2011.  Summer Aulich will take notes of the meeting in her absence.
Historian’s report:   Not present. 

Music director’s report:   Not present. 

Old Business:  For the annual meeting November 6, the band will provide chicken, ice, drinks, plates, cups and utensils.  Potential candidates for the upcoming year were discussed.  The following band members agreed to be considered for nomination:  Joe Harbert, Mark Myers, Fred Hormuth and Jim Moore.  The board will present these candidates and request nominations from the floor at the annual meeting.  The Little ODCB and Big Brass Quintet will be performing at the meeting.  Dan made a personal donation on behalf of the band for an ad in the Bend in the River Brass Band program.

New Business:  Due to the problems confronted at the Fall Festival parade with the lights on the trailer, it was decided to prepare a diagram for the proper set-up of the electrical and battery system on the trailer.  The remaining concert schedule is as follows:  12-06-11 Evansville Central library; 12-10-11 Santaland; 12-13-11 joint concert with Castle South Middle School bands.  Other events that for smaller groups are the Halloween parade on 10-29-11 and Newburgh Celebrates Christmas 12-03-11 at 4 pm.

OLD DAM COMMUNITY BAND
ANNUAL MEETING
November 6, 2011

The Old Dam Community Band members met at the Newburgh Central Library on November 6, 2011 for their annual meeting.  Frank Book offered grace before the meal of fried chicken provided by the band beginning at about 1:30 pm. The business meeting was called to order at 2:15 pm by board president Dan Schultz.

The following members of the Old Dam Community Band were present:  Frank Book, Kenny Chuang, Mary Ann Decker, Mike Decker, Jenny Deters, Charles Dewig, Elizabeth Emmert, Nance Fiester, Wayne Fiester, Julia Gentry, Rachel Gore, Ted Gore, Dave Guillaum, Joe Harbert, James Leslie, Carla Martin, Tracy McConnell, Mark Myers, Sandy Rawls, Sharon Mirick, Dn Schultz, Terri Schultz, Geneice Snow, Bryant Taylor, Mark Taylor, Gene VanStone, and Karl Zimmerman.

President Dan Schultz recognized the current board members present:  Frank Book, Wayne Fiester, Ted Gore and Mark Taylor.  Dan has received word from her daughter that Nan Baum has been released from the hospital on Friday and is recovering at home. 

Dan announced that the terms of three board members:  Fred Hormuth, John Powell and Mark Taylor are expiring as of December 31, 2011.  Fred Hormuth has agreed to be nominated for the board for a new three-year term beginning January 1, 2012.  John Powell and Mark Taylor have declined nominations for new terms because of personal reasons and work conflicts.  A fourth board position has been vacant since the resignation of Roy Dorris last year.  Therefore, four new board members will be elected this year.  The slate of candidates presented for new three-year terms beginning January 1, 2012 is as follows:  Joe Harbert, Fred Hormuth, Jim Moore and Mark Myers.  As no further nominations were forthcoming from the floor, Karl Zimmerman moved and Wayne Fiester seconded that the nominations be closed. It was moved and seconded that the nominees be elected as presented; the band voted unanimously that the motion be carried and the nominees were elected.

Since no further business was at hand, the group was entertained by a woodwind quintet (Kenny Chuang, Sharon Mirick, Jenny Deters, Liz Emmert and Carla Martin), The Big Brass Quartet (Dan Schultz, Charlie Dewig, Mark Myers, Wayne Fiester and Mark Taylor) and the Little Old Dam Band (Wayne Fiester, Dan Schultz, Ted Gore, Mary Ann Decker, Karl Zimmerman, Frank Book and Joe Harbert).

The meeting was adjourned at 4:00 pm.  Several band members stayed after to make sure the library rooms were left clean.

BOARD OF DIRECTORS MEETING
September 17, 2011

The Old Dam Community Band Board of Directors met at the home of Dan Schultz on September 17, 2011.  The following board members were present:  Dan Schultz, Wayne Fiester, Fred Hormuth, Frank Book and Marcia Wines.  The meeting was called to order at 9:08 am by board president Dan Schultz.

The minutes from the August 2011 meeting were accepted as submitted.

President’s report:   Dan announced that the parade crew has been set and band personnel are being lined up for the Fall Festival parade.

Vice President’s report:  No report. 

Treasurer’s report:  There is a balance of $1152.95 currently in the bank account. 

Secretary’s report:  There is a possibility of a new percussion member joining the band.

Property manager’s report:  We have a lot of tee shirts on hand.

Music director’s report:  Dan reported in Jerry’s absence that a one or more pieces of Christmas music will be added to the library.

New Business:
We will begin the process of selecting the pieces to retain in the concert folders for the coming year.
A slate of nominees for the 2012 Old Dam Community Band Board needs to be compiled for the October board meeting to be presented at the Annual Meeting November 6.

OLD DAM COMMUNITY BAND
BOARD OF DIRECTORS MEETING
August 20, 2011

The Old Dam Community Band Board of Directors met at the home of Dan Schultz on August 20, 2011.  The following board members were present:  Dan Schultz, Wayne Fiester, Fred Hormuth, Frank Book, Ted Gore,  Marcia Wines and Jerry Reese.  Terri Schultz was also present for the meeting.  The meeting was called to order at 11:20 am by board president Dan Schultz.

The minutes from the July 2011 meeting were accepted as submitted.

President’s report:   Dan related to the board that flute player Nan Baum is still recuperating and making a gradual recovery.  He announced a need to set up a crew to prepare the parade trailer for the Fall Festival and to coordinate the activities the day of the parade since Dan cannot be at the parade.  The distribution of percussion parts was discussed as to how to best utilize available personnel to cover necessary parts.

Vice President’s report:  No report

Treasurer/Property Manager’s report:  Fred reported there is a balance of $851.44 currently in the bank account.  Small contributions are coming in.  The two main upcoming expenses are insurance due in October of $400 and the annual meeting in November.  A supply of shirts will be available for purchase for the open rehearsal at the library.

Secretary’s report:  No report.

Historian’s report:   Not present.  Dan announced that the office has been vacated and that candidates are being considered for this position.

Music director’s report:   Jerry stated that we now have a nice variety of music and that it is more challenging. 

New Business
September 11 Commemoration Day concert in Fort Branch - The concert will start at about 5 pm should last approximately an hour.  Dan check further on parking and other details. 
Mr. Bus Project – We have been offered to assume possession of the double-decker bus from Historic Newburgh.  Frank made a motion to accept this offer, but the motion failed to pass.

BOARD OF DIRECTORS MEETING
July 23, 2011

The Old Dam Community Band Board of Directors met at the home of Dan Schultz on July 23, 2011.  The following board members were present:  Dan Schultz, Wayne Fiester, Fred Hormuth, Summer Aulich Frank Book, Ted Gore, and Marcia Wines. The meeting was called to order at 12:07 am by board president Dan Schultz.

The minutes from the June 2011 meeting were accepted as submitted.

President’s report:  The next board meeting will be August 20, 2011.  There will be an open rehearsal at the library on the fourth Tuesday July 26, 2011.

Vice President’s report:  Wayne will be getting pictures of new members to update the website.  Dan suggested possibly adding an “in memoriam” page and changing the opening page.  Wayne will work on this. 

Treasurer’s/Property Manager’s report:  Fred reported there will be a balance of $1080 after outstanding bills of $433.34 total from Staples and picnic expenses are paid.  Fred presented options for ordering new T-shirts in more sizes:  48 shirts at 7.95 each or 72 shirts at 6.50 each.  It was moved by Frank and seconded by Wayne that we order 72 shirts in a wider variety of sizes.  For the standard navy blue shirts, it was decided that each member obtain his own shirt and have it embroidered with the band logo as desired.   
Secretary’s report:  Marcia stated that she has a better handle on condiments for the picnic. 

Historian’s report:   Not present.

Music director’s report:   Not present.
Comments from other board member’s present:  It was generally agreed that the new music is very good.         

Old Business:  None

New Business:  The entry form for the Fall Festival has been submitted, but Dan will not be there for the parade on October 8, 2011.  Another band member will need to take the lead in steering this event.  It was decided to decline performing at the National Night Out event if invited.  Since there will be four open board positions as of January 1, 2012, nominees will need to be determined for the annual meeting November 6, 2011.

General Discussion:  The band should be back to rehearsing at Castle South Middle School in three weeks.

June 18, 2011

The Old Dam Community Band Board of Directors met at the home of Dan Schultz on June 18, 2011.  The following board members were present:  Dan Schultz, Fred Hormuth, Frank Book, Ted Gore and Marcia Wines. The meeting was called to order at 11:12 am by board president Dan Schultz.

President’s report:  Dan updated the board on the picnic for the Newburgh fireworks celebration July 3.  We will set up on the asphalt pad at the east end of the Old Lock and Dam park due to the subsidence problem.  Jerry will determine the entrées for the picnic.  Parking should be no problem before 6pm.  Band members can wear the regular uniform or the new band t-shirts for the concert.  We will have shirts to sell to the public at the concert.  We need to recruit 4 new board members including a new historian for the annual meeting in November.  Dan will submit a new application to reserve fourth Tuesdays for band concerts with Newburgh Central library July 1 for the upcoming year.  

Vice President’s report:  No report. 

Treasurer’s/Property Manager’s report:  Fred reported there is a balance of $832.74 currently in the bank account with the t-shirts, J. W. Pepper and Royal Office Supply having been paid.  39 of 100 shirts have been sold.  Our $100 deposit from HNI was returned since the east cottage was unusable for the picnic.  The insurance is paid for 6 months and there is a zero balance on the credit card.

Secretary’s report:  Plans have been made for condiments for the picnic. 

Historian’s report:   Not present.

Music director’s report:   Not present.

Comments from other board member’s present:  Ted welcomed a new percussion player and he will assume the percussion 2 chair.

BOARD OF DIRECTORS MEETING
May 28, 2011

The Old Dam Community Band Board of Directors met at the home of Dan Schultz on May 28, 2011.  The following board members were present:  Dan Schultz, Wayne Fiester, Fred Hormuth, Summer Aulich, Mark Taylor Marcia Wines and Jerry Reese.  The meeting was called to order at 12:09 P.M. by board president Dan Schultz.

The minutes from the April 2011 meeting were accepted as submitted.

President’s report:   Dan announced that the Spencer County Community band is in need of volunteers for their performance at the Lincoln Ampitheater June 25.  Our next concert will be the Fourth Tuesday concert at Newburgh Central library June 28, 2011.  Dan will try to reserve the fourth Tuesday of the month for the upcoming year with the library.  Upcoming concerts already scheduled are for December 6 at the Evansville Central library and December 13 for a joint concert with Castle South Middle School for the big band.  The Little Old Dam band has concerts at the Newburgh Farmer’s Market on June 2 and for the Fireworks Rally at the Old Lock and Dam building on June 9 from 6-7 pm.  The east cottage at the Old Lock and Dam park will not be available for our July 3 picnic and concert due to unsafe conditions on the hill.  We will have port-a-potties available for our use.  We will set up under our canopies at the base of the hill on the asphalt pad to the east.  The picnic will start at 5 pm with the concert following at 6 pm.  The budget for the event will be set at about $250.

Treasurer’s/Property Manager’s report:  There is a balance of $1660.73 in the checking account.  Fred reported $300 has been received from the sale of the new band t-shirts.  We are current on our insurance payment.  There is an outstanding bill from J.W. Pepper for music.

Secretary’s report:  No report.   

Historian’s report:   No report.

Music director’s report:   Jerry advised the board there may be some conflicts in having our rehearsals at the middle school this summer.  He suggested that we may be able to use the high school or use church facilities.  We will wait and see how things work out. 

General Discussion:  It was decided it might be a good idea to establish a calling tree by section so that we could notify band members of last-minute changes to the schedule or any urgent information.

April 16 , 2011

The Old Dam Community Band Board of Directors met at the home of Dan Schultz on April 16, 2011.  The following board members were present:  Dan Schultz, Wayne Fiester, Fred Hormuth, Frank Book, Ted Gore, Jerry Reese, Mark Taylor,  and Marcia Wines.  Terri Schultz was also present for the meeting.  The meeting was called to order at 11:17 am by board president Dan Schultz.
The minutes from the March 2011 meeting were accepted as submitted.

President’s report:   Dan received a thank-you from the Castle South Middle school for our donation to their program.  He suggested that it might be a good idea to continue this gesture.

Vice President’s report:  Wayne expanded on Dan’s idea that it might be good to support other music programs and modify our mission statement to reflect that.

Treasurer’s/Property Manager’s report:  Fred reported there is a balance of $1739.39 currently in the bank account after the donation to the middle school.  $22 was received in donations from the prior band rehearsal.   Fred has also ordered 10 new shirts at a cost of $165.85.  Dan mentioned that he has completed the e-file for the IRS for our non-profit status. 

Secretary’s report:  Marcia gave the board information she had obtained as to the costs involved in getting the band t-shirts done.  She will check further into finding out the cost of digitalizing the design.  Board members are still working on getting biographies together.   

Historian’s report:   Dan reported in John’s absence that a new page has been added to the history.

Music director’s report:   Jerry thanked the board for the donation to Castle South Middle School.  He mentioned that in May, we could have a movie-themed concert.  In regard to the rehearsals through the summer, he stated there may be a problem with the availability of air-conditioning and that there might be some conflicts with school events in August. 

Old Business:  The insurance premium has increased by $100 to $400 every six months with the addition of the trailer to the policy.  The copier contract of $350-400 will be due in June.

New Business:  The concert schedule as of now is as follows:  April 26 7 pm-Fourth Tuesday concert at the library;  May 7 10 am Little Old Dam Band Rivertown Trail dedication;  May 14 10-11 am-Little Old Dam Band performance on the riverfront; May 21 5 pm-Strawberry Festival at the Newburgh Presbyterian Church; May 24 7 pm-Fourth Tuesday concert at the library; May 28 – Memorial Observance at Rose Hill Cemetery; June 4 or 5 Spencer County Community Band will perform at the Lincoln Ampitheatre and has invited members of the Old Dam Community Band to perform with them at the event.  Dan will be gone from May 11 through May 23 so the May 2011 ODCB board meeting will be moved to May 28 after the Rose Hill concert at about 10:30.  Dan would like to devote a Saturday afternoon to refurbishing the equipment trailer.

March 26, 2011

The Old Dam Community Band Board of Directors met at the home of Dan Schultz on March 26, 2011.  The following board members were present:  Dan Schultz, Wayne Fiester, Fred Hormuth, Summer Aulich, Frank Book, Ted Gore and Marcia Wines.  Terri Schultz was also present for the meeting. 

The meeting was called to order at 11:12 am by board president Dan Schultz.
The minutes from the February 2011 meeting were accepted as submitted.

President’s report:   Dan related that we have been invited to play at the Newburgh Presbyterian Church Strawberry Festival Saturday, May 28 at 5pm.  The next regular concert is April 26 at the Newburgh Central Library.   Also, he would like to schedule a work day to refurbish the trailer to accommodate the chimes and tympani.

Vice President’s report:  No report. 

Treasurer’s report:  Fred reported there is a balance of $2333.31 currently in the bank account.  There is an outstanding bill of $50 for music and an income of $24 from shirts. 

Property Manager’s report:  The board recommended that in regard to our band shirts, we choose a style and then have our logo applied, maybe keeping a few shirts on hand as samples.  The idea of designing a t-shirt for the band was also discussed.

Secretary’s report:  Marcia asked the board for a short biography from each member to be included with grant submissions and for other purposes. 

Historian’s report:   Not present.

Music director’s report:   Not present.

Comments from other board member’s present:  Summer stated she is starting to familiarize herself with the grant submission process.  Wayne mentioned that he had met a woman who has written a book on grants and will give Summer her card.

General Discussion:  Terri stated that the t-shirts would be a good idea.  After discussion, it was moved and seconded that $300 be allocated to purchase t-shirts as giveaways for concerts.  Marcia will investigate the possibilities as to the cost and sizing.

BOARD OF DIRECTORS MEETING
February 19, 2011

The Old Dam Community Band Board of Directors met at the home of Dan Schultz on February 19, 2011.  The following board members were present:  Dan Schultz, Fred Hormuth, Frank Book, Summer Aulich and Marcia Wines.  The meeting was called to order at 11:07 am by board president Dan Schultz.
The minutes from the January 2011 meeting were accepted as submitted.

President’s report:   Dan has applications available for the Blue Lake Fine Arts camp for anyone who might like to attend.

Vice President’s report:  Dan presented the vice-president’s report in Wayne’s absence.  He stated that the website is up-to-date with concert dates. 

Treasurer’s report:   Fred submitted a new format for presenting the treasurer’s report. There is a balance of $2335.76 currently in the bank account. 

Secretary’s report:  Marcia requested updated biographies for incumbent board members and new ones from the new board members.  Wayne has biographical information on the website for some members. 

Historian’s report:   Not present.

Property manager’s report:  Fred has several men’s shirts but only a couple women’s shirts in the inventory.

Music director’s report:  Not present.

Comments from other board member’s present:  Grants chairman Summer Aulich will be initiating the process of submitting grant applications.  It was suggested that she be selective in determining which grants to apply for. 

Old Business:  It was decided to leave the eleventh board member position open until the next annual meeting.  We now have insurance on the parade trailer at minimal cost.   

New Business:  None

General Discussion:  Fred mentioned that we continue to encourage attendance at our concerts and that we may be outgrowing the library community room.  Frank inquired about the possibility of obtaining a shell for ODCB performances.  Dan responded that that idea has been abandoned.

BOARD OF DIRECTORS MEETING
January 15, 2011

The Old Dam Community Band Board of Directors met at the home of Dan Schultz on January 15, 2011.  The following board members were present:  Dan Schultz, Wayne Fiester, Fred Hormuth, John Powell, Frank Book, Ted Gore and Marcia Wines.  Also in attendance was Roy Dorris, outgoing treasurer.  The meeting was called to order at 11:16 am by board president Dan Schultz.
The minutes from the November 2010 meeting were accepted as submitted.
President’s report:   Dan stated that due to inclement weather, only 13 band members were present at rehearsal January 11, 2011.
Vice President’s report:  No report. 
Treasurer’s report:  There is a balance of $2705.37 currently in the bank account. 
Secretary’s report:  No report. 
Historian’s report:   Records are up-to-date.
Property manager’s report:  Fred will bring in the remaining inventory and put it in the trailer.
Music directors report:  Dan reported in Jerry’s absence that Jerry is pleased with the band’s progress.
Comments from other board member’s present:  Ted will audit the accounts for 2010.  Frank suggested that emails from the Schnuck’s program for restaurants be shared with the band.
Old Business:  None
New Business:
Due to an oversight, it was discovered that Roy Dorris’s term on the board actually expired at the end of 2010.  Therefore, there is still an open position on the board to be filled.  Current board member Fred Hormuth will assume the office of treasurer and retain his position as property manager.  It was moved and seconded to table the discussion of selecting the new board member until the next board meeting.
The board thanked Roy for serving very ably as treasurer and thanked Fred for taking on those duties going forward.
Roy presented the proposed budget for the upcoming year.  It was moved and seconded that the budget be accepted as set forth.
The following slate of officers was proposed for the upcoming year:  Dan Schultz, president; Wayne Fiester, vice-president; Fred Hormuth, treasurer and property manager; Marcia Wines, secretary; John Powell, historian and Jerry Reese, music director.  It was moved and seconded that the slate of candidates be approved.  A vote was taken and the officers were elected as listed.  It was moved and seconded to accept the results.
It was determined there is no insurance on the parade trailer.  A floating property policy with $2500 each for the parade and Hallmark trailer and $10000 for the music library and other miscellaneous assets is available.  The only change from the current policy would be to specify a $500 deductible for the parade trailer.
The concert schedule is not yet set and there are no concerts scheduled for January.  The fourth Tuesday of the month has been reserved at the Newburgh Central library community room for the upcoming year.
