THE OLD DAM COMMUNITY BAND                                                            BOARD OF DIRECTORS MEETING MINUTES
December 19, 2009

The Board of the Old Dam Community Band met at the house of Dan Schultz on December 19, 2009. The following Board members were present: Frank Book, Roy Dorris, Wayne Fiester, Fred Hormuth, Tracy McConnell and Dan Schultz. The following board members were absent: Ted Gore, John Powell, Jerry Reese, Mark Taylor and Carl Zimmerman.  Board Member elect Marcia Wines was present.
The meeting was called to order at 11:00 A.M.  The minutes from the November Board meeting were approved as written.

Officer and Committee Reports

1. President, Dan Schultz, stated that our last Christmas concert on December 15, 2009 at the Newburgh Library was great. The recording sounded really good. The narration and the sing-along could be heard on the recording.

2. President, Dan Schultz, stated that Randy Wheeler posted the highlights of the Hometown Heroes concert from November 9, 2009 on YouTube.

3. President, Dan Schultz, stated that we have close to 100% participation in the Schnucks program, except for the people who live in Haubstadt. We have not implemented the Friends of the Band program where we sign up audience members in the Schnucks program. We will try and do this at our concerts next year. Wayne Fiester can make announcements during the concerts, and we can possibly add a note in the programs.

4. Vice President, Wayne Fiester, stated that he has added pictures from the last concert on the website.

5. Treasurer, Roy Dorris, submitted his financial report summaries by email. The balance as of December 18, 2009 is $1,751.39. He stated that we have two (2) checks to deposit, and that we have a credit of $134 on the credit card.

6. Secretary, Tracy McConnell, passed out the following: November minutes, 2009 summary of received grants and 2010 proposed budget.

7. Secretary, Tracy McConnell, discussed the issue of the Band having a group Facebook page. We could then send monthly or regular updates out to our fans that would give a summary of upcoming concerts. We could also discuss ways to financially support the Band, including wills, trusts, etc. The page could be used for surveys after concerts, to gauge interest from Band members and our audience members of songs we would like to purchase or play at concerts, and many other things. It would be a way to connect with the community and keep up with members of the Band. It was decided that more research would need to be done before setting one up. We would need to have moderator(s) who could monitor it for content. It was decided that women and younger people use Facebook the most. Dan Schultz will post a question about it on the community band group and see what success other band have had.

8. Secretary, Tracy McConnell, made a motion to ask Carl Zimmerman to step down from his position as Board Member. Carl has had many medical problems that have prevented him from actively participating. A motion was made and approved to table the original motion until Frank Book can speak with Carl Zimmerman about his future plans and his health status.

9. Property Manager, Fred Hormuth, stated that we are out of women's shirts in small and medium sizes. We will purchase some more when see the need.

10. Treasurer, Roy Dorris, presented the proposed 2010 budget. It was approved as written. Roy will put the budget in a format for Marcia Wines to include in grant proposals.

New Business


11. President, Dan Schultz, discussed which folders we will play out of for the next two (2) weeks. He will play out of the Christmas folders for both weeks, unless the Band decides otherwise.

12. President, Dan Schultz, stated that the he has reserved the fourth Tuesdays next year at the Newburgh Library. The third Tuesdays were already reserved.

BOARD OF DIRECTORS MEETING MINUTES
November 21, 2009

The Board of the Old Dam Community Band met at the house of Dan Schultz on November 21, 2009.  The following Board members were present:  Roy Dorris, Wayne Fiester, Ted Gore, Fred Hormuth, Tracy McConnell, John Powell, Dan Schultz, and Mark Taylor.  The following Board members were absent: Frank Book, Jerry Reese, and Carl Zimmerman. 

The meeting was called to order at 11:03 A.M.  The minutes from the October Board meeting and the November Annual Meeting were approved as amended. 

Officer and Committee Reports

1.  President, Dan Schultz, reviewed the upcoming holiday concerts.  It was discussed that we will try and make the concerts at least one (1) hour long.

2. President, Dan Schultz, stated that the Hometown Heroes concert on November 9, 2009 at the Newburgh Library was a success.

3.  Vice president, Wayne Fiester,  stated that the new website has been launched.  The website looks successful from his computer on different web browsers.  He asked the Board to review and check for errors.  He added a funding section to the website.

4. Treasurer, Roy Dorris, submitted his financial report summaries by email.  The balance as of November 2, 2009 is $1,529.33.  Roy will email the proposed 2010 budget to the Board members to review before the next meeting. 

5.  The Schnucks escrip program was discussed.  It was suggested that we could recognize a monthly “Schnucks Hero” for people who have been getting large amounts of money donated to the program.  It was then discussed that we could advertise to be “Friends of the Band” at our concerts.  We would sign up members of the audience for the Schnuck’s program as a way for them to support our Band.  Wayne Fiester will initially sign the new Band members up for the Schnucks program.

6. Secretary, Tracy McConnell, passed out the following:  October minutes, November Annual Meeting minutes, update on the Schnucks escrip program and information on the Chase Community Giving program.

7.  Secretary, Tracy McConnell, announced that we received a $100 grant from the Yeager Charitable Trust in Owensboro, Kentucky.  The Secretary will send a follow-up report to the Trust upon spending the money.

8.  Historian, John Powell, requested a list of the past performances of the small groups.  He might attend the holiday concert at the Evansville Library to take some pictures.

9.  President, Dan Schultz, stated that we will have to coordinate with Jerry Reese and the percussion section to determine how best to get the large percussion equipment to the December concerts.

10.  Property Manager, Fred Hormuth, stated that we sold $201 worth of merchandise at the Annual Meeting.

11.  A discussion was held as to whether the Band should request a minimum donation for certain events for which the Bands play.  It was decided that it will be left up to the President when scheduling “private event” concerts whether to mention that we have a suggested donation rate.

ANNUAL MEETING MINUTES
NOVEMBER 1, 2009

The Old Dam Community Band met for the Annual Meeting at the Kiwanis Building on November 1, 2009. 

The meeting was called to order at 2:00 P.M. 

1.  President, Dan Schultz, stated that the terms for the following Board members are up at the end of the year:  Tracy McConnell, Ted Gore and Frank Book.  Tracy McConnell is not running for another term.  Marcia Wines has decided to run for the Board.  A motion was made, seconded and approved to elect the following people to the Board:  Frank Book, Ted Gore and Marcia Wines.

2.  President, Dan Schultz, stated that he Board had officially appointed Jerry Reece as an Ex-Officio Member of the Board.

3.  Vice President, Wayne Fiester, stated that the Band is having a sale on Band wearables with 20-30% off.

4.  Jerry Reece, stated that he is enjoying playing and conducting the Band.  He is working on getting more guest conductors for concerts next year.  He mentioned that we have ordered some new Christmas music.  The Band agreed that they enjoy having him direct the Band.

5.  President, Dan Schultz, stated that there have been about fifty (50) people attending Band practices.

THE OLD DAM COMMUNITY BAND
BOARD OF DIRECTORS MEETING MINUTES
October 31, 2009

The Board of the Old Dam Community Band met at the house of Dan Schultz on October 31, 2009.  The following Board members were present:  Wayne Fiester, Ted Gore, Fred Hormuth, Tracy McConnell, John Powell and Dan Schultz.  The following Board members were absent: Frank Book, Roy Dorris, Jerry Reece, Mark Taylor, and Carl Zimmerman.  Also present was Board Member Elect, Marcia Wines.

The meeting was called to order at 11:09 A.M.  The minutes from the September Board meeting were approved as written. 

Officer and Committee Reports

1.  President, Dan Schultz, announced the following Santaland dates: December 19, 2009 for the Little Old Dam Band and December 20, 2009 for the Old Dam Community Band.  Both days are from 3:00 to 6:00, unless other groups decide to play for some of the time, such as the last hour.  The two (2) Christmas Concerts will be December 8, 2009 at the Evansville Central Library and December 15, 2009 at the Newburgh Central Library.

2. President, Dan Schultz, stated that November 17, 2009 will be a practice at the library, but not a formal concert.  He will run this by Jerry Reece.

3. Treasurer, Roy Dorris, submitted his financial report summaries by email.  The balance as of October 31, 2009 is $1,384.31.  A discussion was held about making sure that the donation jar is present in plain view at the concerts and that it is mentioned during the concerts.

4. Secretary, Tracy McConnell, passed out the following:  September minutes and a list of songs currently in the Band folder.

5. Secretary, Tracy McConnell, stated that she will be giving the files for the fundraising efforts to the Treasurer, Roy Dorris.  Wayne Fiester, however, will take over the job of signing up new Band members for the Schnucks program.  Wayne Fiester also mentioned that his wife, Nance Fiester, would be willing to assist the Band with grant proposals.

6.  Historian, John Powell, requested that he get a picture of the new Board of Directors.  Two (2) Board members will not be at the annual meeting, so the picture might be taken during a concert.

7. Property Manager, Fred Hormuth, stated that he is ready for the inventory “Fire Sale” tomorrow at the Annual Meeting.

8.  President, Dan Schultz, stated that fifty (50) people attended the last practice.

9.  Marcia Wines stated that she is enjoying playing with the Band and looks forward to the practices.

Old Business

10.  President, Dan Schultz, stated that the nominations are fixed for tomorrow’s meeting.  The slate will be Marcia Wines, Ted Gore and Frank Book.

11.  President, Dan Schultz, stated that he will pick up the chicken, and we will eat around 1:00.  We will do a short business meeting and then will have concerts from the small groups.

12.  Secretary, Tracy McConnell, inquired about last the previous discussions on having a music wish list on our website for people to make directed donations.  The Board members decided that we might want to do this.

13.  The Board members went through the current folder contents and decided what tunes would be pulled and returned to the library.  It was suggested that after Dan pulls the songs, he will give the folders to one member from each section to determine if all of the songs are in order and if all of them are in each of the folders.

New Business

14.  A discussion was held as to whether the Band wanted to have sponsors on our concert programs.  The majority of those present decided that they did not want to do it at this time.

September 26, 2009

The Board of the Old Dam Community Band met at the house of Dan Schultz on September 26, 2009.  The following Board members were present:  Roy Dorris, Wayne Fiester, Ted Gore, Fred Hormuth, Tracy McConnell, John Powell and Dan Schultz.  The following Board members were absent: Frank Book, Jerry Reece, Mark Taylor and Carl Zimmerman. 

The meeting was called to order at 11:01 A.M.  The minutes from the August Board meeting were approved. 

Officer and Committee Reports

1.  President, Dan Schultz, stated that the next concert will be on October 20, 2009 at the Newburgh Central Library.  After that concert, we will start to play Christmas music.

 2. President, Dan Schultz, stated that we will have “request time” during practices when time allows.  This lets the band members and directors hear some different tunes from our folders.

3.  President, Dan Schultz, discussed the Fall Festival Parade.  It was decided that the Band will Play the Washington Post March and Rock Around the Clock.  Dan will request that the members  wear wild clothing during the parade.

 4. Vice President, Wayne Fiester, stated that he is working on navigation and conversions of the website.

5. Treasurer, Roy Dorris, submitted his financial report summaries by email.  The balance as of September 24, 2009 is $1,701.30.  He stated that we have received some large donations by people who want to remain anonymous.

 6. Secretary, Tracy McConnell, passed out the following:  August minutes, and financial summaries of the Good Search and Schnucks fundraising programs.

7. Secretary, Tracy McConnell, discussed the status of the two (2) fundraising programs.  We have earned approximately $54 from the Schnucks program from June and July and $7 from the Good Search program from May through September.

8.  Historian, John Powell, submitted two (2) quarters of history.  He will provide a disk to Wayne Fiester for inclusion on the website.

 9. Property Manager, Fred Hormuth, stated that we have a huge inventory of shirts and hats.  It was decided to have a 20% off sale at the annual meeting in hopes of selling the inventory.

 10.  President, Dan Schultz, expressed the music director’s, Jerry Reece, statements in his absence.  Jerry Reece is having fun directing the practices.  He enjoys writing music for the Band, and he enjoys the socializing after practice at the Roca Bar.

Old Business

11.  President, Dan Schultz, stated that the Annual Meeting will be held on Sunday, November 1, 2009 at 1:00 at the Kiwanis building.  After the dinner, there will be a short business meeting and then some small ensembles will play for the group.

12.  President, Dan Schultz, stated that we will discuss which tunes should be removed from the folders at the next Board meeting.

13.  Secretary, Tracy McConnell, inquired about last Board meetings’ discussion on having a music wish list on our website for people to make directed donations.  The Board members wanted to see some websites had that type of program.  It was decided that we would not promise to include these songs in any particular concert.

New Business
14.  President, Dan Schultz, stated that the nominations committee is working on getting a replacement for retiring Board Member, Tracy McConnell.  The nominations need to be fixed before the next Board meeting.

15.  President, Dan Schultz, stated that the next Board meeting will be on October 31, 2009.

16.  President, Dan Schultz, stated that on the practice of October 27, 2009, Jerry Reece, has a Junior High concert from 7:00 to 8:00.  Dan will ask the Band to support Jerry Reece by attending the concert, and then we will have a short practice afterwards.

17.   Vice President, Wayne Fiester, stated that he has scheduled meetings with other local Kiwanis groups to give the Band’s Power Point presentation.

August 29, 2009

The Board of the Old Dam Community Band met at the house of Dan Schultz on August 29, 2009. The following Board members were present: Frank Book, Roy Dorris, Wayne Fiester, Ted Gore, Fred Hormuth, Mark Taylor and Dan Schultz. The following Board members were absent: Tracy McConnell, John Powell, Jerry Reece and Carl Zimmerman.

The meeting was called to order at 11:09 A.M. The minutes from the July Board meeting were approved.

Officer and Committee Reports

1. President, Dan Schultz, gave the "Geneice Snow Article” to the "Making Music Magazine" and the "Association of Concert Bands Journal."

2. President, Dan Schultz, stated that the Band would start practicing at the Castle Middle School South next Tuesday night, September 1, and the point of entry would be emailed to the Band.

3. Vice President, Wayne Fiester, stated that he had given the Band Power Point presentation to the Kiwanis.

4. Vice President, Wayne Fiester, also stated that he had emailed an invitation to the Band to attend a picnic at his home on Saturday the 6th of September.

5. Treasurer, Roy Dorris, submitted his financial report summaries by email. The balance as of August 27, 2009 is $1,727.43.

6. Treasurer, Roy Dorris, said the money from the Schnucks program is coming in at about $30.00 for the first month.

7. Property Manager, Fred Hormuth, has finished inventory of the band clothing and stated there were too many tops. A discussion of a sale at the annual band gathering should be considered.

8. Mark Taylor thanked the band for the music provided at his father's funeral.

New Business

80. President, Dan Schultz, stated that a nominating committee should be formed to replace Tracy McConnell who is retiring from the Board at the end of her term. Frank Book and Ted Gore are at the end of their elected terms and those positions will be open for nominations.

10. President, Dan Schultz, stated that the music folders would soon be retired for the Christmas season and that this would be a good time to review the music in the folders. Dan handed out a list of music charts in the regular concert folders and we have six hundred thirteen (613) pieces of music in the folders.

11. A invitation to individuals to request a particular piece of music off of a “wish list” on our website and have that person provide the money for the band to purchase a particular piece of music from the list was discussed.

12. The next Board meeting is set for September 26.

BOARD OF DIRECTORS MEETING MINUTES
July 25, 2009

The Board of the Old Dam Community Band met at the house of Dan Schultz on July 25, 2009.  The following Board members were present:  Frank Book, Wayne Fiester, Fred Hormuth, Tracy McConnell, and Dan Schultz.  The following Board members were absent: Roy Dorris, Ted Gore, John Powell, Mark Taylor and Carl Zimmerman.  Also present at the Board meeting were Terri Schultz and Jerry Reece.

The meeting was called to order at 11:12 A.M.  The minutes from the June Board meeting were approved as amended. 

Officer and Committee Reports

1.  President, Dan Schultz, nominated Jerry Reece for the position of Music Director.  The motion was approved.

2.  President, Dan Schultz, has been in contact with the Evansville Courier and Press about purchasing the pictures of Geniece Snow that go with the article that was previously published.  The cost of the jpeg version of the photographs is $110.  A motion was made and approved to purchase all of those pictures.

3.  President, Dan Schultz, stated that they witnessed a fun band in Scottsville, Michigan.  This band was characterized as a “clown band” for their crazy costumes and antics during their concert.  It was suggested that the Band wear crazy costumes for the parades to make it more fun and enjoyable to watch.

4.  Vice President, Wayne Fiester, stated that he will add a new link on the website for the new member’s handbook.

5.  Vice President, Wayne Fiester, stated that he has been working on a power point presentation about the Band.  The presentation was about twenty (20) minutes and was presented to the Historic Newburgh Kiwanis.  This presentation asks for audience members to join the Band, shows how organizations can support the Band,  how groups can invite the Band to play for their events, and an invitation to listen to our concerts. Wayne can do this presentation at other community organizations and/or it can be put in grant proposals.  He will put a shorter version with narration on the website.

6.  Vice President, Wayne Fiester, stated that he has been putting the history on the website.  A discussion was held as to whether we should include more details in the history.

7.  Treasurer, Roy Dorris, submitted his financial report summaries be email.  The balance as of July 17, 2009 is $1,711.10. 

8. Secretary, Tracy McConnell, passed out the following:  June  2009 Board minutes and the July Development Report (8 grant requests pending).

9.  Secretary, Tracy McConnell, gave an update of the Schnucks program which now has thirty-six (36) supporters of the Band.

10.  Music Director, Jerry Reece, discussed the logistics of practices.  He will be asking the Castle South Middle School administration if we can relocate our practices there.  There is a great room at the school that can be used for concerts, and the Band could also practice in that room before a concert.  The school will have new percussion equipment, recoding equipment, and the capability to put the tuner software on a large screen.

11.  Music Director, Jerry Reece, has been doing research for new Christmas music.  Dan Schultz will email the Board members the list of recommendations of Jerry Reece with links to the website to listen to the songs.  The Band will most likely purchase three (3) or four (4) new songs from the list.

12  Music Director, Jerry Reece, discussed whether the annual meeting could be held at Castle South Middle School.  He will check with the administration.  There is a cafeteria that might be a possibility.  It was discussed whether we want small groups to perform at the Annual Meeting again.  If so, we need to let the Band know to get ready for that concert.

13.  Music Director, Jerry Reece, stated that he is working on other possible guest conductors for future concerts , such as Ann Wilcheck.

14.  Property Manager, Fred Hormuth, still needs to check on the current inventory of property.

New Business

15.  A new piece of music, Glenn Miller Medley, was purchased for the Band.

16.  President, Dan Schultz, stated the Band’s privacy policy.  He sends blind emails to members of the Band.  He stated, however, that communication needs to be going between the Board members and Jerry Reece.

BOARD OF DIRECTORS MEETING MINUTES
June 20, 2009

The Board of the Old Dam Community Band met at the house of Dan Schultz on June 20, 2009. The following Board members were present: Roy Dorris, Wayne Fiester, Ted Gore, Fred Hormuth, Tracy McConnell, John Powell, and Dan Schultz. The following Board members were absent: Frank Book, Mark Taylor and Carl Zimmerman.

The meeting was called to order at 11:09 A.M. The minutes from the May Board meeting were approved as amended.

Officer and Committee Reports

1. President, Dan Schultz, stated that potential guest conductors for the Fall concert are Tom Listenfelt and Gary Ahrens. Gary Ahrens may not be able to direct, however, until later in the year due to an injury.

2. President, Dan Schultz, stated that both concert venues are available for the July 21 concert. The Board decided to have the concert at the Newburgh Central Library.

3. President, Dan Schultz, stated that the directors will start to work on the musicality of the band, including intonation and blending.

4. Vice President, Wayne Fiester, stated that the bare structure of the website is now functioning. He is working on the pictures and navigation menus. He will add a conducting staff section on the members page.

5. Vice President, Wayne Fiester, stated that he has been looking at the set-up location for the National Night Out concert on August 4, 2009. This will be a huge event.

6. Treasurer, Roy Dorris, submitted financial report summaries, including a pie chart. The balance as of June 18, 2009 is $820.22. It was mentioned that the Little Old Dam Band received a $200 donation from Eastminster for their picnic.

7. Secretary, Tracy McConnell, passed out the following: May 2009 Board minutes and the June Development Report (5 grant requests pending).

8. Historian, John Powell, is continuing to update the concert history.

9 Fred Hormuth stated that he needs to get with Frank Book about transferring the duties of property manager to him.

Old Business

10. The details of the Fourth of July picnic and concert were discussed. We will do the same thing as last year. There will be music with the fireworks this year. Dan Schultz will take the equipment to the hill around 3:00. We will eat around 5:00 (potluck) and play at 6:30. The Band will not have access to the house or electricity.

11. The Little Old Dam Band has a concert on July 3. Dan Schultz will need someone to take the music and equipment to the Solarbron concert on July 3 and then bring it back for the July 4 concert. Roy Dorris volunteered.

12. Tracy McConnell gave an update on the fundraising activities. There are 27 people signed up for the Schnucks program. Twenty-four (24) Freedom Festival bracelets were sold which earned the Band $48.

13. Roy Dorris sent in the 501(3)(c) IRS forms electronically. Now all non-profit organizations must register each year with an electronic postcard.

14. The status of the cookie committee was discussed. A small batch of cookies (one dozen) will be presented to someone to honor them. Then we will ask for a volunteer to make the next cookie presentation.

15. It was decided that short, 10-15 minute, breaks will be put back into band practices.

BOARD OF DIRECTORS MEETING MINUTES
May 30, 2009

The Board of the Old Dam Community Band met the house of Dan Schultz on May 30, 2009. The following Board members were present: Roy Dorris, Wayne Fiester, Ted Gore, Fred Hormuth, Tracy McConnell and Dan Schultz. The following Board members were absent: Frank Book, John Powell, Mark Taylor and Carl Zimmerman. Terri Schultz was also present.

The meeting was called to order at 11:05 A.M. The minutes from the April Board meeting were approved as written.

Officer and Committee Reports

1. President, Dan Schultz, stated that the Band has had a busy schedule lately. The practice on May 26 was good. Jerry Reece is available to direct the June and July concerts. Jerry Reece wanted to know if the schedule of last week’s practice was too much for the Band.

2. Vice President, Wayne Fiester, stated that a Farmer’s Market is starting in Newburgh at the town hall parking lot. The Little Old Dam Band will hold their Saturday morning practices there to provide music.

3. Vice President, Wayne Fiester, stated that he will have the new website up within a week. The website will have different sections for different types of users. He will have a fundraising section on the member’s section of the website.

4. Treasurer, Roy Dorris, submitted financial report summaries. The balance as of May 29, 2009 is $585.87. There are two (2) copier invoices that are going to be due soon. Our copier contract is for fifteen thousand (15,000) copies per year, and last year we had thirty-three thousand (33,000) copies. The extra copies cost about $500. Dan Schultz passed out an explanation of the copier costs. We will be getting donations from some of the upcoming June and July concerts. The Little Old Dam Band will also have some concerts with donations coming up. It was discussed whether we should take up a one (1) time collection for the copier invoices.

5. Secretary, Tracy McConnell, passed out the following: April 2009 Board minutes and the May Development Report (4 grant requests pending).

6. Secretary, Tracy McConnell, discussed the various fundraising programs of the Band. The Band is selling Freedom Festival bracelets and will get $2 for each one sold. The Band is signed up under the Schnucks escrip program. The Band will receive 1-3% of all purchases made under our account. Tracy will do a mass sign-up for the Band members. This escrip program can also be expanded to include the recycling of ink toner/cartridges, cell phone, ipods, etc. The Good Search program involves the use of a search engine and on-line purchases made through their website. The band earns $0.01 per internet search and a percentage of internet purchases. The Board members will encourage the members of the Band to participate in these fundraisers.

7. Ted Gore is working on coordinating our concert at the Newburgh Community’s National Night Out on August 4. There will be food and approximately four hundred (400) people in attendance. The organizers will try and get us some shade. The concert will be in an empty lot from 7:00-8:00.

8 Fred Hormuth stated that he needs to get with Frank Book about transferring the duties of property manager to him.

Old Business

9. An inquiry was made as to the progress of the cookie committee. Wayne Fiester stated that he will hold the first presentation of the cookies at the next regular practice.

New Business

10. Additions to the music folder were discussed. We will decide how much of the new music we will add to the folders. Jerry Reece also has some new music for the Band to try.

11. The locations of the summer concerts were discussed. We will have two (2) venues available for each of the third Tuesday concerts (quarter and library). The Kiwanis wanted to know if we wanted to have another concert at their shelter. It was decided that we would not. The addition of more food for sale at the concerts was discussed. Historic Newburgh Kiwanis sold the ice cream and strawberries. Maybe the Newburgh Kiwanis could sell some grilled food.

12. The details of the Fourth of July picnic and concert was discussed. We will do the same thing as last year. There will be music with the fireworks this year.

13. Dan is working on seeing if the current Castle High School directors and past Junior High director, Tom Listenfelt, would like to be guest conductors.

April 25, 2009

The Board of the Old Dam Community Band met the house of Dan Schultz on April 25, 2009. The following Board members were present: Frank Book, Roy Dorris, Wayne Fiester, Ted Gore, Tracy McConnell, John Powell, Dan Schultz and Mark Taylor. The following Board members were absent: Fred Hormuth and Carl Zimmerman.

The meeting was called to order at 11:03 A.M. The minutes from the March Board meeting were approved as written.

Officer and Committee Reports

1. President, Dan Schultz, stated that he enjoyed his vacation. Dan said that the Association of Concert Bands is a great organization. They had a one hundred twenty-nine piece concert band, and the music was all grade 4. He said that the convention is worth doing. Next year it will be in Plano which is a suburb of Dallas, Texas. In 2011 it will be in Michigan. The conductors are all composers. Dan and Terri also played in two community bands on the way to and from their convention. Dan thanked Roy Dorris for bringing the trailer to practice the last two weeks.

2. President, Dan Schultz, stated that the concert will be May 19. James Leslie, Jerry Reece and Jack Schernekau will be directing. The quarter has been offered for the Band’s use or the library is booked. Dan will ask the conductors which venue they prefer.

4. President, Dan Schultz, mentioned a request that the band play at the Newburgh Community National Night Out on August 4. This will be a block party format on Jeffries Street near Marywood and Nottingham. Ted Gore will find out the details.

5. Vice President, Wayne Fiester, is still working on the new website format. He stated that the new website should be done within a week.

6. Treasurer, Roy Dorris, submitted financial report summaries. The balance as of April 24, 2009 is $330.87. He stated that approximately forty people have been coming to practices and that we should remind people about the donation jar.

7. Secretary, Tracy McConnell, passed out the following: March 2009 Board minutes, April Development Report (3 grant requests pending) and a survey from the March 24, 2009 concert.

8. The historian, John Powell, stated that he has completed the arrangements for some World War I songs. The library has asked for the Little Old Dam Band to play during their historical presentation.

9. Property Manager, Frank Book, will get with Fred Hormuth on the transferring of the property manager’s duties. Dan will send an updated list of inventory to Frank. The Band will be giving a shirt to Jack Schernekau.

Old Business

10. An inquiry was made about the cookie committee. Wayne Fiester stated that he is working on perfecting his recipe. It was discussed that someone different can make the cookies each time and make a different type of cookie. Wayne will work on getting that committee going.

New Business

11. Tracy McConnell presented the Board with a new fundraising opportunity. The Growth Alliance for Greater Evansville (GAGE) is allowing non-profit organizations to sell the wristbands. The non-profit organization gets to keep $2 from every bracelet sold. Tracy will head this up.

March 21, 2009

The Board of the Old Dam Community Band met the house of Dan Schultz on March 21, 2009.  The following Board members were present:  Frank Book, Roy Dorris, Wayne Fiester, Fred Hormuth, Tracy McConnell, John Powell, Dan Schultz and Mark Taylor.  The following Board members were absent: Ted Gore and Carl Zimmerman.  Terri Schultz was also present.

The meeting was called to order at 11:03 A.M.  The minutes from the February Board meeting were approved as written. 

Officer and Committee Reports

1.  President, Dan Schultz, stated that the Band appears healthy.  The mix of conductors seems to be working good.

2.  President, Dan Schultz, mentioned that the Newburgh Easter Parade is scheduled for 10:30 on April 11, 2009.  Dan will not be in town that weekend, but will poll the Band to see if there will be enough people for the parade float.

3.  President, Dan Schultz, stated that John Sakel and John Wittenbraker were asking about concert attire.  The Band will give each a Band shirt.

4.  Treasurer, Roy Dorris, submitted financial report summaries.  The balance as of March 19, 2009 is $675.45. 

5.  Treasurer, Roy Dorris mentioned that the weekly donations have dropped.  We will mention the donation jar at practices and at the concert.  Tracy McConnell mentioned that corporate donations, as well as concert donations, are also down.

6. Secretary, Tracy McConnell, passed out the following:  February 2009 Board minutes and the  March 2009 Development Report (2 grants pending).

7.  Secretary, Tracy McConnell, mentioned a fundraiser that was brought to her attention.  The Evansville organization G.A.G.E. is offering $2 for each Freedom Festival ticket that a non-profit organization sells.  Tracy will find out more details about this.

8.  Historian, John Powell, requested that someone give him a copy of the article about the Band that will be in the Warrick section of the Evansville Courier.

9.  Mark Taylor mentioned that is was nice to practice in the old Lock and Dam building; however, we should not do it very often.

Old Business

10.  Dan Schultz, stated that the spring concert will be on March 24 at the Newburgh Central Library.  The play list has been completed with the addition of Smoky Joe’s Café.  The new songs will be put into the black folders after the concert.  Tracy McConnell will pass out surveys at the concert.

11.  Dan and Terri Schultz will be out of town from April 9 to 23, 2009.  Roy Dorris will take the trailer to practices.

12.  Dan and Terri Schultz will be going to the Association of Concert Band convention in Houston, Texas.  They will play in their band, as well as some community bands on the way down.

New Business

13.  Dan Schultz has requested that the April Board meeting be moved from April 18 to April 25, 2009.

14.  The practice after the concert will be all new music.  It was noted that it will be good to read new music. 

15.  Wayne Fiester has asked Mike Decker take more pictures for the website.

The Board of the Old Dam Community Band met the house of Dan Schultz on February 21, 2009. The meeting was called to order at 11:05 A.M. The minutes from the January Board meeting were approved as written.

Officer and Committee Reports

1. President, Dan Schultz, listed the following upcoming concerts: March 24 – Newburgh Library (Jerry Reese and John Sakel guest directors), May 19 – Newburgh Library (Jerry Reese and Jack Schernekau guest directors), June 2 – Lincoln State Park (visitor’s center), June 16 – Newburgh Library, June 18 – Lakeside Manor ice cream social and July 21 – Newburgh Library. The following are upcoming Little Old Dam Band concerts: April 26 – Castle High School open house, June 13 – Lincoln State Park (visitor’s center) and June 28 – Mt. Gillead social. Dan and Terri Schultz will be in Houston at the Association of Concert Band convention from April 14 through 19.

2. Treasurer, Roy Dorris, submitted financial report summaries. The balance as of February 20, 2009 is $800.14. He stated that there are a couple of invoices outstanding with a total of $150.00.

3. Ted Gore has completed the 2008 financial audit. There were a couple of items that had to be corrected.

4. Secretary, Tracy McConnell, passed out the following: January 2009 Board minutes, 2009 Development Report and 2009 Board Member Biographies.

5. Mark Taylor requested that the Little Old Dam Band play at his dad’s funeral, as a request of his father to have a Dixieland band present.

6. Dan Schultz stated that the Band has been enjoying having different directors at practices.

Old Business

7. Dan Schultz, stated that the spring concert will be on March 24 at the Newburgh Central Library. He stated that there will not be enough time to allow the small groups to perform.

8. Dan Schultz stated that the practice on March 17 will be at the Old Lock and Dam Building. The Band will celebrate it’s ninth birthday with potluck desserts.

New Business

9. Dan Schultz has requested that the sections take their folders and check them for accuracy with the list. The folders need to be put back in order at least once a year.

January 17, 2009

The Board of the Old Dam Community Band met the house of Dan Schultz on January 17, 2009. The following Board members were present: Frank Book, Roy Dorris, Wayne Fiester, Ted Gore, Tracy McConnell, John Powell and Dan Schultz.
The following Board members were absent: Fred Hormuth, Mark Taylor and Carl Zimmerman.

The meeting was called to order at 11:10 A.M. The minutes from the December Board meeting were approved as written.

Officer and Committee Reports

1. President, Dan Schultz, stated that Jon Patton conducted a rehearsal for James Leslie. There were 38 people at that rehearsal.

2. President, Dan Schultz, stated that Carl Becker had requested a few new songs – Sound of Music and My Fair Lady. A motion to buy the music was approved.

3. Vice President, Wayne Fiester, has received the uniform order. There are a few more items that will need to be ordered. Wayne wants to change the ordering process. He will put a link to the Queensboro website on our website, along with the account number. Then, members of the band can either order directly through Queensboro or let Wayne know what they want to order by giving him the model number and size.

4. Vice President, Wayne Fiester, is still working on the new website format.
He will launch the most necessary items first.

5. Treasurer, Roy Dorris, submitted financial report summaries. The balance as of January 17, 2009 is $688.64. He stated that the Band received a number of donations at last week at practice.

6. Secretary, Tracy McConnell, passed out the following: December 2008 Board minutes, Organizational Structure, 2009 Scheduled Board meetings, 2009 Board of Directors’ Terms, 2009 Board of Directors List, Accomplishments, Concert Totals and Contributor’s List (2001-2008 and 2005-2008).

7. The historian, John Powell, stated that the 2008 history is up to date.

8. Property Manager, Frank Book, stated that he is working on the updated inventory with the new wearables items. The Band now has some women’s shirts in stock.


Old Business

9. Dan Schultz, stated that the Band will need to find an alternative practice venue for March 17, 2009. Castle Junior High School and the Newburgh Central Library are both unavailable for that date. Dan will check to see if we could hold practice at the old Lock and Dam building for that day.

10. Dan Schultz stated that the Newburgh Parks Board has removed the arts pavilion from their agenda. They need to spend their money on infrastructure.
It was suggested that maybe this idea needs to be presented to Warrick County.

11. The Spring concert is scheduled for March 24, 2009 at the Newburgh Central Library. We will have guest conductors (John Sakel and John Wittenbraker and potentially Jon Patton) for that concert.

12. The outdoor concerts at the downtown quarter may continue this year.
Those concerts became very popular.

New Business

13. Ted Gore stated that he will be getting with David Emery soon to work on the 2008 financial audit.

14. Dan Schultz stated that Jim Seibert, who owns the quarter property downtown, has asked about getting a long sleeve button shirt with the Band’s
logo on it. We will allow him to get one.

15. Some members of the Band have requested that breaks be put back into the practices. The breaks will be re-instated.

16. The following 2009 officers were approved by the Board: Dan Schultz – President, Wayne Fiester – Vice President, Roy Dorris – Treasurer and Tracy McConnell – Secretary. Frank Book stated that he might allow Fred Hormuth to be property manager for 2009.

17. The Band’s ninth year anniversary is February 29 (28 this year), 2009.
We will celebrate the anniversary possibly on February 24, 2009. Dan Schultz will speak with Jerry Reese to see where we would be allowed to have refreshments at the school.

18. Wayne Fiester volunteered to head the Cookie Committee. It was decided that it would be nice to reward one Band member each month by giving them cookies. Wayne has purchased some music note cookie cutters. Different people could volunteer to make the cookies each time.
