Old Business
7. A discussion was held about band member donations. The band member donations are about a third of what has been donated in the past. Some people may need to see our expense reports to see how the money is spent. Some people may think that we do not need donations due to all of the grants that were awarded to the Band early in the year. Carl Zimmerman volunteered to make announcements at Band practices about the donation box. A discussion was also held about whether a donation box should be placed at concerts. It was decided that we should put some sort of donation box at our public concerts. Dan Schultz will see if he can make a unique donation box out of an old instrument.
New Business

These grants are hard to get, and there are not a lot of funders who will donate for general operating expenses. It was suggested that maybe we should write a grant request for another tympani or a set of chimes.
10. President, Dan Schultz, will begin overhauling the regular music folders. He will circulate the list of songs that will be removed from the folder one more time for the Board members to review.
The meeting was adjourned at 12:00 P.M.

3. Vice President, Wayne Fiester, stated that the new system for ordering wearables is working good. Right now it is taking about two (2) to three (3) weeks to get orders in. We have not made any orders to replenish stock. We will order some items for stock when the next order goes in.

13. A discussion was held about recording equipment. The Band has some recording equipment now, but it is difficult to use and will be obsolete soon. We would then make the master cds available for Band members to make copies for their use. We would also archive our concerts. The recording equipment that Dan Schultz is researching have hard drives and have the capability to burn cds. A motion was made and approved that we will buy recording equipment up to a maximum amount of $1,000. Dan Schultz, Carl Zimmerman and John Powell will research the equipment.

The Band will not require that people buy a certain brand and model of stand or light. People will be encouraged, however, to purchase a light. A motion was made and approved to purchase ten (10) stands and ten (10) lights. These stands and lights will be for people to use and for people to buy.

The versions of the logo are all different on the letterhead, wearables and website. The letterhead is the official version of the logo.
15. A discussion was held about the recruitment of clarinet players. We will concentrate our efforts on one section of the Band at a time. Different recruitment strategies were discussed. Frank Book and Ted Gore will work on recruitment ideas.
16. It was mentioned that we need to watch where our cases are stored due to lack of space.
The meeting was adjourned at 12:30 P.M
Submitted by Tracy McConnell, Secretary.

The meeting was called to order at 11:10 A.M. The minutes from the January Board meeting were approved as amended.
Officer and Committee Reports
1. President, Dan Schultz, attended an advisory council meeting for the Warrick County Community Foundation. The purpose of the council was to increase the Board of Directors to thirty-five (35) and to get the word out about what the Foundation does. They also want the Board of Directors to look for new funders. The band can make an announcement at concerts or in programs about the Foundation.
2. Vice President, Wayne Fiester, will mention at practice that we are going to start keeping an on-going list of songs that we want to play at concerts.
3. Vice President, Wayne Fiester, has not had much progress on editing the DVD. It is a slow process to learn the software.
4. President, Dan Schultz, read the Treasurer’s report in Gene Van Stone’s absence. The current balance of the Band on January 31, 2007 was $1,360.69. Gene does not know of any outstanding bills.

Tracy inquired about the updated brochures and business cards. They are not printed yet.
6. Ted Gore will be out of town the second week of May.
Old Business
7. Carl Becker will be out of town for the concerts on May 55 and 27. We will have the other band directors available at the mass band concert, and Joe Choi will be available at the East Minster concert. Joe will be available for practices starting in April.
8. No change in regards to the conducting staff. Ruthe Potami is getting some scores to look at and has requested some songs to be put in the folders. Some of the songs are from the Owensboro Band. We will limit the number of those that we add. Liz Emmert warmed the Band up some.
9. Vice President, Wayne Fiester, has met David Goodwin in the Bend in the River Brass Band. David lives in Owensboro, but has recently moved from Philadelphia, Pennsylvania. David has experience in directing bands and might be interested in directing our Band. Wayne will send him an email with a link to our website, so he can learn about our Band.

12. A discussion was held about the details of the mass band concert. We have four (4) directors now. The amphitheater has been reserved for the whole day. One of the members of Jon Patton’s band is on the Friends of Lincoln and was able to secure the facility. The tentative schedule is to have a picnic lunch and practice at 1:00P.M., the concert at 3:00P.M., and a possible social afterwards. Dan will ask each band to suggest six (6) songs, and the band directors will decide from there what the concert will include. The Heritage High School seniors, who graduate the Saturday before the concert, have been invited to play in the band. The estimated total band will be about eighty (80) people. A discussion was held as to what to call the event/concert. It was suggested to call it the “Lincoln Park Band Festival.” The Board will think about possible names. It was decided that there will be no theme to the music played at the concert. Dan Schultz will coordinate between the bands.
13. The Little Old Dam Band has purchased some new music recently. Tracy McConnell reminded the Board that the Band needs to purchase $200 in music for the Fall concerts, preferably before the May progress report is due to the Warrick County Community Foundation.

15. The Board was reminded that any Band member can attend the Board meetings. They need to tell Tracy McConnell, or any Board member, what they want to discuss to get on the agenda.

THE OLD DAM COMMUNITY BAND
BOARD OF DIRECTORS MEETING MINUTES
JANUARY 20, 2007
The Board of the Old Dam Community Band met at Dan Schultz’s house on January 20, 2007. The following Board members were present: Wayne Fiester, Ted Gore, Tracy McConnell, John Powell, Dan Schultz and Carl Zimmerman. The following Board members were absent: Frank Book and Gene Van Stone.
The meeting was called to order at 11:10 A.M. The minutes from the December Board meeting were approved as written.
Officer and Committee Reports
1. President, Dan Schultz, stated that Carl Becker had asked for a new song called Sinatra In Concert to be put in the folder.
2. President, Dan Schultz, stated that he has been talking to Jon Patton about putting together a mass band concert. The tentative date is the Sunday of Memorial Day weekend (May 27, 2007) at the Lincoln State Park amphitheater. The mass band would have members of all local bands. Each of the band directors would select a few songs from their library for the mass band to play at the concert. There would be one practice with the mass band before the concert, perhaps at Castle Junior High School. There would be a picnic lunch for all of the band members and families.
3. President, Dan Schultz, stated that he and Wayne Fiester have been invited to an advisory luncheon for the Warrick County Community Foundation.
4. Vice President, Wayne Fiester, has made a reservation for concerts at the Newburgh Central Library for the third Tuesday in the following months: April, May, June, July, August, September and December. We may not use them all, but he wanted to make sure that we had reservations. The Band could play concerts inside or outside, depending on the weather. Wayne also has a reservation for the Christmas concert at the Evansville Central Library.
5. Vice President, Wayne Fiester, is working on updating the website for 2007. He has made changes to the first six (6) months of the calendar. He needs to update his list of birthdays and pictures for new members. Carl Zimmerman will check with Tim Williams to see if he would be interested in taking more pictures of Band members for the website.
6. Treasurer, Gene Van Stone, did not have a report. Dan Schultz mentioned that Ted Gore and David Emery are working on the 2006 Financial report.
7. Secretary, Tracy McConnell, is now handling the meeting agendas. Tracy passed out the following handouts: minutes from the December Board meeting, 2007 Board of Director’s List, 2007 Key Staff and Leadership Biographies, Contributor’s List (2001-2006), 2007 Board Meeting Dates, 2007 Board of Directors’ Terms, History, Accomplishments and concert totals through 2006.
8. Property Manager, Frank Book, was not present at the meeting; however, a discussion was held about the procedures for ordering, receiving and paying for inventory. It was suggested that the mass orders should be pre-paid.
Old Business
9. Vice President, Wayne Fiester, stated that he has the DVD of the Christmas concert. Wayne has purchased a DVD editing computer program. He will edit the DVD to take out the songs that were not very good. It was also suggested to put some still pictures in the video.
New Business
10. President, Dan Schultz, welcomed the new Board Member, Ted Gore.
11. President, Dan Schultz, started a conversation about the current band folders. Bryan Hartig proposed using a practice folder that would have a few songs that the Band is currently working on. Then the full band folders would be left in the trailer. Bryan also wants to be librarian and for Carl Becker to be the new music director. It was decided that the use of the folders will remain the same without a practice folder. Dan is getting ready to replace the folders that are in bad shape.
12. It was suggested to have a play list for concerts, so Band members would know what to rehearse. The concert play list could also have a few alternative songs on it, in case a song cannot be played at the concert for some reason.
13. It was suggested that we need some announcements/talking at concerts before the songs. Wayne Fiester volunteered to be the concert announcer.
14. On the subject of music director, it was decided that the Board and Dan Schultz, as President, will continue to conduct the duties of a music director until such time the Board feels that there is a suitable candidate for the role of music director. The job description for music director is not finalized at this time and will not be circulated to prospective music directors.
The meeting was adjourned at 12:25 P.M.
